The Project Coordinator serves as a critical operational partner to the project management team, providing administrative, financial, and document control support across multiple concurrent projects. This role is responsible for coordinating project documentation, tracking schedules and deliverables, facilitating communication between internal teams, subcontractors, vendors, and clients, and ensuring compliance with contractual and organizational requirements. The Project Coordinator also supports project financial processes, maintains organized and audit-ready records, and assists with project startup, closeout, and handover activities to help ensure projects are executed efficiently, accurately, and on schedule.

Key Responsibilities

  • Serve as the central point of contact for project documentation, including contracts, submittals, RFIs, change orders, purchase orders, and correspondence across multiple concurrent projects.
  • Track and manage project schedules, milestones, and deliverable deadlines; proactively communicate status updates to Project Managers and internal stakeholders.
  • Coordinate with subcontractors, vendors, and clients to collect and distribute required project documentation, ensuring timely approvals and compliance with contract requirements.
  • Assist with project financial administration, including processing invoices, tracking budgets, reconciling costs, and preparing billing documentation in coordination with the accounting team.
  • Maintain organized and audit-ready project files in both physical and digital formats; manage document control systems to ensure version accuracy and accessibility.
  • Support project kickoff, closeout, and handover processes, including the preparation of closeout packages, warranty documentation, and O&M manuals.

Qualifications

  • Associates or Bachelors degree in Business Administration, Construction Management, or a related field; or equivalent combination of education and experience.
  • Minimum 5 years of experience in project administration, project coordination, or a similar role within the construction, engineering, or specialty contracting industry.
  • Strong working knowledge of construction documentation processes, including RFIs, submittals, change orders, and pay applications.
  • Experience with project management or document control software (e.g., Procore, Buildertrend, Smartsheet, or similar platforms).
  • Microsoft application fluency in Word, Excel, Outlook, PowerPoint, and Teams.

Preferred Qualifications

  • Experience supporting design-build, EPC, or specialty contractor projects (e.g., structural, industrial, or infrastructure).
  • Familiarity with contract language, lien waivers, insurance requirements, and basic construction law concepts.
  • Project Management Professional (PMP) certification or active pursuit of certification.

Physical demands

While performing the duties of this position, the employee is regularly required to communicate effectively through speaking and listening. The role typically involves prolonged periods of sitting at a desk and working on a computer. The employee may occasionally be required to stand, walk, reach with hands and arms, and lift or move objects up to 15 pounds.
