Summary
Coordinate all hotel, apartments, visitor lodging, and approved ground transportation arrangements for employees and visitors. Ensure accurate tracking, timely communication, and alignment with company travel policies.
Essential Duties and Responsibilities include the following. Other duties not listed may be assigned.
Coordinate hotel and apartment reservations for employees and visitors, including check-in/check-out tracking and occupancy management. 35%
Arrange approved ground transportation services including company drivers, shuttles, and airport pickup/drop-off coordination. 20%
Communicate with hotels, landlords, and travel vendors regarding availability, pricing, service quality, and issue resolution. 20%
Maintain accurate lodging and transportation tracking logs and support invoice validation and routing for approval. 15%
Coordinate travel-related information with HR, Security, and department leaders to ensure smooth visitor and employee arrivals. 10%
Education and/or Experience
High school diploma or equivalent required
Associate or bachelor's degree in business, Hospitality, Tourism, or related field preferred
Minimum two years of experience in travel coordination, hospitality, or administrative support preferred

Must be able to respond to urgent travel or lodging changes, including limited after-hours support when required.
