Legal Administrative Assistant

Alliance Defending Freedom

Location: Lansdowne, VA Team Overview The Legal Administrative Assistant is a vital part of the US Legal Advocacy Team and will be responsible for assisting your assigned team members in a variety of administrative tasks. Key Responsibilities Act in a confidential capacity while anticipating and supporting the needs of assigned attorneys and team members. Manage clerical responsibilities and special projects with direct supervision, including maintaining case files in the Litigation database and electronic document management systems. Prepare, proofread, and edit legal documents, correspondence, binders (pleadings and research), basic court filings (including CM/ECF), pro hac vice motions, court admissions paperwork, and presentations, reports, and organizational charts. Coordinate administrative functions, including managing Outlook calendars, scheduling meetings and events, arranging travel itineraries, maintaining office supplies/IT support, and serving as backup for other assistants. Process operational tasks such as reconciling purchase card expenses, submitting invoices and vouchers, preparing shipping labels and packages (UPS/FedEx), and handling faxing, scanning, copying, and collating legal documents and exhibits. Create, maintain, and organize hard-copy and electronic files while preparing client, court, and attorney correspondence and ensuring proper filing of court documents. Minimum Qualifications 1+ years of legal administrative experience. Experience with Microsoft Office, including Word, Excel, and Outlook. Strong administrative, organizational, and communication skills.
