Position Overview

The Assistant Property Manager is responsible for supporting the day-to-day operations of the Woodlands Build-to-Rent community. This role assists with leasing, resident relations, rent collection, maintenance coordination, administrative functions, and community engagement while working closely with the Property Manager to ensure occupancy, resident satisfaction, and operational excellence.

This position requires a highly organized, customer-focused professional who thrives in a fast-paced environment and enjoys building relationships with residents, vendors, and prospective tenants.

Key Responsibilities

Leasing & Resident Relations

• Assist prospective residents through the leasing process from initial inquiry through move-in

• Conduct property tours and showcase available homes

• Follow up with leads and assist in achieving occupancy goals

• Process rental applications and verify supporting documentation

• Prepare lease agreements, renewals, and related addenda

• Coordinate move-in and move-out procedures

• Provide prompt, professional communication to residents and prospects

• Support resident retention initiatives and renewal efforts

Community Operations

• Assist in the daily operation of the Build-to-Rent community

• Coordinate community events and resident engagement activities

• Help maintain a welcoming and professional community atmosphere

• Ensure community standards and appearance expectations are maintained

• Perform periodic property and amenity inspections

Financial & Administrative Support

• Assist with rent collection and delinquency follow-up

• Enter and reconcile accounts receivable and accounts payable transactions

• Maintain accurate resident, vendor, and property records

• Assist with owner and monthly reporting preparation

• Track invoices and vendor payments

• Support budget monitoring and expense tracking

Maintenance & Vendor Coordination

• Receive and coordinate maintenance requests

• Dispatch vendors and follow work orders through completion

• Monitor make-ready progress and turnover schedules

• Conduct follow-up communication with residents after service completion

• Assist with vendor scheduling and quality-control inspections

• Coordinate warranty and builder-related service requests when applicable

Compliance & Risk Management

• Ensure compliance with Fair Housing regulations and company policies

• Maintain complete and accurate resident files

• Assist with compliance audits and reporting requirements

• Support risk management and community safety initiatives

Qualifications

• 1-3 years of property management, leasing, customer service, hospitality, or related experience preferred

• Build-to-Rent, multifamily, or single-family rental experience preferred

• Strong customer service and relationship-building skills

• Excellent verbal and written communication abilities

• Strong organizational skills and attention to detail

• Ability to multitask and prioritize competing responsibilities

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

• Experience with Yardi or comparable property management software preferred

• Valid Driver's License and reliable transportation required
