Position Summary

Better Weighs to Better Health is seeking a friendly, organized, and customer-focused Medical Receptionist to serve as the first point of contact for our patients. This role is essential to creating a welcoming patient experience while ensuring efficient front-office operations. The ideal candidate is professional, detail-oriented, and capable of managing multiple responsibilities in a fast-paced healthcare environment.

Operating Schedule: Tuesday through Saturday

Key Responsibilities

Patient Services

• Greet and welcome patients in a professional, friendly, and compassionate manner.
• Check patients in and out efficiently while ensuring a positive experience.
• Verify and update patient demographic, insurance, and contact information.
• Answer patient questions and provide information regarding office procedures and services.
• Maintain patient confidentiality and comply with HIPAA regulations at all times.

Appointment Management

• Schedule, confirm, and reschedule patient appointments using the practice management system.
• Coordinate provider schedules to maximize efficiency and patient flow.
• Send appointment reminders and follow-up communications as needed.
• Manage cancellations, no-shows, and waitlists appropriately.

Administrative Support

• Answer incoming phone calls promptly and direct inquiries to the appropriate team members.
• Manage incoming and outgoing correspondence, including emails, faxes, and mail.
• Prepare, organize, and process patient forms, records, and documentation.
• Maintain accurate electronic health records (EHR) and patient files.
• Assist with reports, data entry, and other administrative projects as assigned.

Billing and Financial Responsibilities

• Collect co-pays, outstanding balances, and other payments.
• Provide receipts and maintain accurate payment records.
• Assist patients with basic billing questions and direct complex concerns to the appropriate department.
• Support billing and coding processes when necessary.

Office Operations

• Maintain a clean, organized, and welcoming reception area.
• Monitor and replenish office and reception supplies.
• Collaborate closely with providers and clinical staff to ensure smooth daily operations.
• Assist with additional front-office duties and special projects as needed.

Daily Responsibilities

• Welcome patients and visitors upon arrival.
• Verify insurance coverage and update patient information.
• Schedule new and follow-up appointments.
• Confirm upcoming appointments through phone calls, text messages, or electronic communications.
• Process patient payments and answer general billing questions.
• Maintain accurate patient records and documentation.
• Coordinate communication between patients, providers, and staff.
• Ensure the reception area remains professional, clean, and inviting.

Qualifications

Required

• High school diploma or equivalent.
• Previous experience in a receptionist, administrative assistant, customer service, or healthcare support role.
• Strong verbal and written communication skills.
• Excellent organizational and multitasking abilities.
• Professional demeanor and exceptional customer service skills.
• Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred

• Experience in a medical office, clinic, or healthcare setting.
• Knowledge of medical terminology and healthcare procedures.
• Familiarity with Electronic Health Record (EHR) systems.
• Experience with scheduling software, insurance verification, and patient registration processes.
• Proficiency with Microsoft Office Suite and general computer applications.
