JOB TITLE: Parts Supervisor DEPARTMENT: Maintenance REPORTS TO: Parts Manager CLASSIFICATION: Exempt SCHEDULE: Monday - Friday, 12:00 PM - 8:00 PM SALARY: $55,000 - $60,000 DATE POSTED: 7/30/2026 JOB DESCRIPTION: The Parts Supervisor supports the effective operation of the KAT Parts Department by assisting with supervisory oversight, inventory strategy, procurement coordination, and regulatory documentation. This role helps ensure accurate inventory accountability, strong vendor coordination, and consistent departmental processes while maintaining clear communication across maintenance teams and supporting compliance with purchasing and regulatory requirements. The position provides daily administrative and operational support and serves as delegated supervisory coverage when the Parts Manager is absent, focusing on leadership, documentation, and coordination responsibilities. Strong communication skills, analytical ability, and sound judgment are essential to supporting maintenance operations, inventory integrity, and organizational goals. ESSENTIAL DUTIES AND RESPONSIBILITIES Leadership and Administration (35%) Assist the Parts Manager with daily supervision of parts department staff, including informal coaching, documentation, and reinforcement of safety and service standards. Provide delegated supervisory coverage in accordance with the labor contract when the Parts Manager is absent, focusing on administrative and managerial responsibilities. Prepare and review reports, support timekeeping accuracy for supervisory/admin staff, and maintain consistent and organized documentation. Inventory Strategy and Control (30%) Analyze repair part demand histories, vendor lead times, and cost trends to recommend stocking criteria, reorder points, and reorder quantities for Manager approval. Assist with cycle counts, perpetual inventory reconciliation, and discrepancy investigations through analysis and documentation. Monitor inventory spending and provide purchasing recommendations aligned with department budget goals and DBE/SLBE objectives. Support process improvements that strengthen parts accountability and reduce shrinkage. Purchasing, Vendor Coordination, and Compliance (20%) Support procurement activities by preparing documentation for price analysis, fair-and-reasonable cost determinations, and vendor quote comparisons. Coordinate with vendors for facility equipment preventative maintenance, repairs, and service scheduling. Track procurement status, vendor performance, and invoice validation for Manager review. Assist with maintaining regulatory documentation including TDEC, EPA, and UST compliance records, ensuring files and inspection documentation remain current and accurate. Support planning and documentation of corrective actions related to regulatory inspections. Operations Oversight, Training, and Project Support (15%) Oversee special projects and amenity-related functions as assigned, ensuring accurate property accountability records. Provide departmental oversight for programs such as uniform rental services, tool and safety shoe allowances, and surplus property disposal. Serve as the lead for evening or alternate shifts when assigned, performing supervisory and administrative duties. Train and mentor parts staff on procedures, safety practices, documentation standards, and system use. MINIMUM QUALIFICATIONS Education and Experience: Associate’s degree and one (1) year of experience in inventory management, procurement, maintenance operations, or a related field. OR High school diploma and three (3) years of progressively responsible experience in inventory control, parts management, or maintenance support. Military experience may be accepted in lieu of equivalent experience or education. Must possess a valid State of Tennessee Driver’s License. Ability to operate a forklift. PREFERRED QUALIFICATIONS A bachelor’s degree in business administration, logistics, supply chain, or a related field. Experience in a unionized environment, transportation industry, or fleet maintenance setting. KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of inventory control practices, procurement processes, and vendor coordination. Understanding of regulatory requirements related to TDEC, EPA, and UST compliance. Typing proficiency of at least 35 words per minute with 98% accuracy. Strong written and verbal communication skills for interacting with staff, vendors, and leadership. Ability to analyze data, identify trends, and make informed recommendations. Proficiency with inventory management systems, fleet management software, and Microsoft Office applications. Strong organizational skills with the ability to maintain accurate records and manage sensitive information appropriately. Ability to collaborate with internal departments and support process improvements across maintenance operations. PHYSICAL DEMANDS The employee is routinely required to stand, walk, and use hands and arms to handle, feel, or reach for objects. Frequent activities include climbing, balancing, stooping, kneeling, crouching, and crawling. Occasionally, the employee may need to reach above shoulder level, below the waist, or between waist and shoulder height. Required to sit, talk, and hear during the course of work May experience repetitive motion involving wrists, hands, and/or fingers Specific vision abilities required include close vision, distance vision, and the ability to focus May occasionally lift and/or move objects weighing up to 50 pounds WORK ENVIRONMENT Work is performed in a maintenance facility and office environment with a moderate to fast work pace. Duties may involve exposure to fumes, airborne particles, and varying temperatures. The role involves frequent interaction with maintenance staff and vendors. Noise level is typically moderate but may occasionally be loud.
