Job Profile Summary Develops detailed maintenance job plans and work packages for pipeline, terminal, storage, plant, and related operational facilities. Reviews maintenance work requests and work orders for scope clarity, priority, asset information, safety considerations, labor requirements, materials, tools, equipment, permitting needs, and execution readiness. Supports effective maintenance scheduling by ensuring approved work is properly planned, resourced, and ready for safe and efficient execution. Performs maintenance planning activities with limited supervision and exercises judgment in developing executable job plans for routine and moderately complex maintenance work. Works closely with Maintenance, Operations, Planning/Scheduling, Supply Chain, Engineering, Reliability, and contractor personnel to support preventive, corrective, regulatory, and condition-based maintenance activities. Maintains accurate planning data within work management systems and uses equipment history, field feedback, and established maintenance practices to improve job plan quality and maintenance execution effectiveness. Essential Functions and Responsibilities Maintenance Scheduling and Coordination Develop detailed maintenance job plans, including labor requirements, task steps, estimated durations, materials, tools, equipment, safety considerations, permitting needs, and execution constraints. Review work requests and work orders to verify scope clarity, priority, asset information, problem description, required resources, and planning readiness. Identify required materials, spare parts, specialty tools, equipment, contractor support, vendor services, and other requirements needed to execute maintenance work. Develop work packages that support safe, efficient, and repeatable execution of preventive, corrective, regulatory, and condition-based maintenance activities. Coordinate with Operations, Maintenance, Supply Chain, Engineering, Reliability, and contractors to clarify work scope, resolve planning gaps, and confirm execution readiness before scheduling. Maintain job plans, task lists, PM records, equipment information, material requirements, and planning data within computerized maintenance management systems (CMMS). Track maintenance backlog status and support timely scheduling of approved maintenance work. Support scheduling by ensuring planned work is complete, properly scoped, resourced, and ready for safe and efficient execution. Work Management and Documentation Build and maintain standardized job plans, work instructions, material lists, task sequencing, equipment records, and maintenance documentation within work management systems. Review historical work order information, failure history, equipment records, and maintenance feedback to improve future job plans. Identify planning deficiencies, material gaps, unclear scopes, execution risks, and documentation issues prior to work being scheduled. Update job plans based on technician feedback, lessons learned, recurring work history, reliability input, and changes to equipment or maintenance strategies. Ensure work orders are planned to the appropriate level of detail before moving to scheduling or execution. Support record retention and documentation requirements associated with maintenance activities. Maintenance Reporting and Administrative Support Prepare and maintain planning reports, backlog readiness reports, material readiness information, work package status summaries, and planning performance information. Track maintenance planning metrics and work order readiness information using established reporting tools. Verify maintenance-related data used for planning, scheduling, reporting, and operational support activities. Communicate planning information, work package status, material readiness, and maintenance status updates to Maintenance, Operations, and support personnel. Support preparation of maintenance planning and scheduling meeting materials, including work order readiness and backlog review information. Reconcile maintenance planning information and identify discrepancies requiring correction before scheduling or execution. Safety, Compliance, and Quality Perform all work in accordance with company safety policies, operating procedures, and applicable regulatory requirements. Plan and coordinate work package requirements associated with inspections, preventive maintenance programs, and required compliance activities. Maintain maintenance planning records, job plans, work packages, and supporting documentation required for operational and regulatory compliance. Follow established safety, environmental, and work management processes. Identify planning conflicts, resource constraints, material issues, documentation gaps, and potential maintenance execution concerns and communicate them through established channels. Support quality and accuracy of maintenance job plans, work orders, and work management records. Team Collaboration and Process Support Collaborate with Maintenance, Operations, Planning/Scheduling, Supply Chain, Engineering, Reliability, and contractor personnel to support maintenance planning and scheduling readiness. Participate in planning reviews, scheduling readiness reviews, maintenance coordination meetings, and work management discussions. Provide planning recommendations to support efficient execution of approved maintenance activities. Support implementation of planning process improvements, job plan standardization, and work management system enhancements. Assist less experienced personnel with routine maintenance planning, job plan development, work package preparation, and work management activities. Support continuous improvement efforts focused on planning quality, job plan effectiveness, work order readiness, data quality, and work management effectiveness. Education High school diploma or GED typically required Associate degree or technical certificate in industrial technology, maintenance technology, business administration, operations management, or a related field preferred Work Experience 3+ years of experience in maintenance planning, job plan development, work order management, maintenance coordination, maintenance scheduling, or related industrial maintenance activities. Experience developing maintenance work packages, task lists, material requirements, labor estimates, equipment needs, and execution plans. Experience planning preventive, corrective, regulatory, condition-based, turnaround, or project-related maintenance work in an industrial environment. Experience identifying parts, materials, tools, equipment, permits, contractor support, and vendor services required for maintenance execution. Experience supporting maintenance operations within pipeline, terminal, storage, plant, utility, manufacturing, petrochemical, or oil and gas environments. Experience using SAP, Maximo, Oracle, Hexagon, or other maintenance management systems to plan, document, and manage maintenance work. Experience using CMMS data, equipment history, technician feedback, and reliability input to improve job plans and maintenance effectiveness. Experience utilizing Microsoft Excel, reporting tools, and business systems to support maintenance planning, scheduling readiness, and operational activities. Skill in organizing, tracking, and updating maintenance work orders, job plans, work packages, material requirements, and supporting documentation. Skill in preparing reports, maintaining records, and communicating planning information, work package status, and scheduling readiness effectively. Skill in applying established planning procedures and work management practices to support safe and efficient maintenance execution. Ability to independently perform routine and moderately complex maintenance planning activities using established procedures and work management systems. Ability to coordinate multiple maintenance planning activities while maintaining attention to job plan accuracy, data integrity, and execution readiness.
