Executive Meeting Manager

As the Executive Meeting Manager, you will serve as a key connection between clients, hotel operations, and sales leadership to ensure meetings, events, and group stays are thoughtfully planned and seamlessly executed. This hybrid role combines sales support, event coordination, client relationship management, and exceptional guest service to drive revenue, strengthen operational efficiency, and create successful experiences for every group we welcome. Support the sales team in identifying, soliciting, and securing new group and meeting business through prospecting, site visits, networking, and proactive follow-up. Prepare and manage proposals, contracts, group resumes, banquet event orders, rooming lists, and other internal documentation with accuracy. Assist with lead distribution and turnover processes while maintaining organized and up-to-date sales records. Respond promptly and professionally to client inquiries by phone, email, and in person. Identify and communicate upselling opportunities, including catering, room upgrades, audiovisual services, and other enhancements to maximize total revenue. Build and maintain positive relationships with meeting planners, corporate clients, and group contacts. Event Planning & Group Coordination Collaborate with clients to understand their needs and translate them into detailed event plans, including meeting space, layouts, audiovisual requirements, food and beverage selections, timelines, and special requests. Manage group room blocks, including reservations, rooming lists, cutoff dates, billing instructions, and guest preferences. Serve as the primary liaison between clients and internal departments to ensure event details are communicated clearly and executed successfully. Participate in internal planning meetings, including BEO and group resume meetings, to support proactive communication and service consistency. Maintain accurate client and event information in the CRM and hotel systems. Conduct pre-con and post-event meetings as needed to ensure expectations are aligned and feedback is addressed. Operational Support & Administrative Excellence Provide administrative support to the Sales and Events team, including filing, correspondence, document preparation, reporting, scheduling, and internal communications. Assist with market research, competitor analysis, and targeted customer outreach to support sales initiatives. Provide on-site support during meetings and events, ensuring smooth operations, timely issue resolution, and exceptional guest service. Collaborate closely with the front desk, housekeeping, food and beverage, banquet, engineering, and operations teams to ensure cohesive service delivery. Monitor guest and client satisfaction, resolve concerns tactfully, and evoke issues appropriately. Support the hotel’s efforts to achieve revenue, service, and guest satisfaction goals. Professional Conduct & Safety Compliance Demonstrate professionalism, reliability, discretion, and a positive attitude in all interactions. Represent AC Residence Inn Dallas by the Galleria and Pacific Hospitality Group with integrity and professionalism. Follow all Marriott brand standards, hotel policies, safety procedures, security protocols, and PPE requirements. Report potential hazards immediately and respond appropriately in emergency situations. Embrace cross-training and continuous learning to support departmental flexibility and professional growth.
