Maintenance Operations Coordinator - Residential Portfolio

We’re seeking a Maintenance Operations Coordinator to serve as the central communication hub between residents, maintenance technicians, vendors, and property management. This role is ideal for someone with hands-on maintenance knowledge who wants to move into a coordination-focused position centered on scheduling, communication, and operational efficiency. Schedule Monday–Friday, standard business hours In-office role based at our Eastlake, Ohio headquarters Your Impact You will support maintenance operations for 300+ units across multiple properties, ensuring residents receive timely service and technicians have clear schedules, priorities, and information. What You’ll Do Serve as the first point of contact for incoming maintenance requests Triage and diagnose basic maintenance issues to prioritize urgency Schedule and dispatch maintenance technicians and approved vendors Provide residents with timely, professional updates and clear communication Maintain accurate records of work orders, notes, photos, and timelines Ensure same-day scheduling when possible and consistent follow-up Monitor technician workloads, daily progress, and unit turn timelines Coordinate closely with Property Managers to improve service efficiency Review vendor performance, verify completed work, and assist with invoice documentation Identify recurring issues and recommend process improvements Use property management and maintenance systems (AppFolio strongly preferred) What You Bring Experience in maintenance coordination, property management, or hands-on residential maintenance Working knowledge of building systems (plumbing, electrical, HVAC, appliances) Strong organizational skills with the ability to multitask and prioritize Excellent communication and customer service skills Calm, solution-oriented mindset in a fast-paced, high-volume environment Comfort managing phone calls, emails, resident portals, and mobile apps Proficiency with scheduling tools, CRMs, and work order systems Strong attention to detail and follow-through Preferred Experience (Not Required) Office or administrative experience in property management, construction, facilities, or dispatch Experience using AppFolio, Yardi, or similar PM platforms Background coordinating field technicians or vendors Familiarity with vendor coordination, cost tracking, or materials ordering This Role May Not Be a Fit If You… Prefer hands-on fieldwork over an office-based role Feel overwhelmed by high call volume or shifting priorities Struggle with documentation, follow-up, or organization Avoid technology or learning new systems Dislike fast-paced, operational environments Why You’ll Love Working at Smartland $25–$30/hour, based on experience Medical, dental, and vision insurance Paid time off and paid holidays Clear growth paths (Maintenance Manager, Operations Manager, Assistant Property Manager) Professional, respectful culture focused on accountability and growth Modern systems, organized processes, and strong leadership support Take the Next Step with Smartland At Smartland, we don’t just manage properties we build communities and invest in people.
