Job Summary
The Grants Manager is a self-starter who proactively drives the daily work of the Grants Team (including supervising a Grant Writer and collaborating with a Grant Administrator) to support the Agency's immediate and long-term funding needs. The Grants Manager will work closely with the Catholic Charities Finance Team and programs, including working with the Senior Leadership Team and Leadership Team to scope and execute proposals.
The Grants Manager will have primary responsibility for day-to-day management of the Agency's grant portfolio and will spend the majority of their time focused on: managing the grant calendar and leading weekly grant meetings; substantial grant writing in response to complicated public and private RFPs to support human services, housing, and capital programs; and supporting the Grant Writer in developing and revising proposals.
As needed and as the grant submission calendar allows, the Grants Manager will work with the Director to identify funding opportunities and/or collaborate with the Grant Administrator to successfully manage the lifecycle of Agency grants.
Job Duties/Responsibilities

Primary Duties
- Managing day-to-day operations of the Grants Team, including but not limited to:
- owning and maintaining the grant pipeline and calendar, including assigning proposals and delegating proposal tasks;
- contributing to and implementing the annual grant funding strategy and anticipating upcoming grant proposals;
- leading weekly Grants Team meeting to review current projects and upcoming deadlines;
- supervising the Grant Writer to submit proposals;
- collaborating with the Grant Administrator to submit proposals and reports;
- interfacing with administrative and programmatic teams regularly; and
- addressing other issues to maintain an effective and efficient grants process.
- Take primary responsibility for developing and submitting grant proposalsfrom small and simple to large and complexunder deadline pressure in response to public and private RFP, NOFA, and other RFX documents to support ongoing operations of human services programs, housing development, and capital projects that fulfill the Agency's greatest needs as determined by the Senior Leadership Team. Duties include but are not limited to:
- communicating proactively with funders to ascertain upcoming grant requirements and deadlines and to pitch proposal scopes;
- conducting independent research to develop application materials;
- writing letters of intent; technical, management, and budget narratives;
- developing and reviewing budget documents;
- writing programmatic and financial reports;
- facilitating and participating in collaborative writing and review processes, including giving and receiving feedback on proposal content in a professional manner that supports the best possible outcomes for the Agency; and
- creating/gathering a wide variety of attachments in the style appropriate for the specific funding source.
- Develop broad and deep working knowledge of and relationships with Catholic Charities programming and staff.
- Collaborate with Grant Administrator to use Salesforce NPSP and Microsoft Teams to manage Grants Team operations.
- Support Director of Proposals and Grants Management to develop and leverage closed AI systems in proposal development.
- Provide a professional, high-level of customer service to internal and external Grants Team and Catholic Charities partners.
- Work occasional, non-standard hours as needed to support proposal submissions.
- Handle confidential and sensitive information with professionalism and discretion, including salary and budget information, Agency strategy, client information, and similar sensitive material.
Additional Duties Grants Lifecycle Management
- As time allows, use databases and other methods to research current and prospective funders and funding opportunities to inform grant strategies, records, and materials.
- As time allows, review and assess funding opportunities for strategic alignment with organization needs.
- Collaborate as part of the Grants Team and broader Community Relations team to support strategic fundraising goals, including supporting the Director of Grants and Proposal Management in developing and executing an annual funding strategy, including to cultivate major grant funders and secure major grants.
- Maintain a working knowledge of the interests and expectations of public and private funders.
- Communicate with and develop relationships with funders and updating Grants Team and other organization staff with pertinent information on funders and opportunities.
- Attend Catholic Charities events and donor/funder cultivation events as directed.
Additional Duties Agency Culture & Policies
- Complete professional work and communicate professionally while under deadline pressure.
- Collaborate effectively and professionally with Agency workgroups in support of the fundraising goals of the Agency, especially the Finance Department and Community Relations Department, and other Catholic Charities administrative teams.
- Use appropriate administrative, fiscal, physical, and technical safeguards to ensure the confidentiality, integrity, and security of Catholic Charities client protected health information (PHI), per regulations outlined in the Health Insurance Portability and Accountability Act of 1996 (HIPAA).
- Regularly use all forms of communication (email, text, phone, etc.) and database practices necessary for this position and as directed by supervisor.
- As a mandated reporter, follow all procedures outlined in agency policies and procedures to report to the proper agency when there is suspicion and/or confirmation that a child or adult has been a victim of abuse or neglect.
- Adhere to the tenets of Catholic Social Teaching and Catholic Doctrine.
- Perform as a team member to assure that productivity outcome measures are achieved.
- Perform related functions as assigned to support program success and the mission and core values of Catholic Charities.
Job Qualifications
To perform this job successfully, an individual must meet the minimum qualifications listed below. These qualifications are representative of the knowledge, skill and/or ability required to perform this job.
Education/Experience: to perform this job successfully, an individual must have:
- Bachelor's degree in English, Technical/Professional Writing, Journalism, Public Administration, or a related field or an equivalent combination of education and experience. Master's preferred.
- 35 years' experience writing technically complex grant proposals.
- 13 years' experience leading grant programs.
- Demonstrated capacity and experience in developing, reviewing, and revising grant proposals without the aid of AI.
- Experience writing grants for human services programs, affordable housing development, and federal and state programs preferred.
Certificates/Licenses:
- To perform this job successfully, an individual must successfully pass background check as required for position.
- CFRE and/or GPC preferred.
