Program / Membership Specialist - Grandparents for Gun Safety (GGS)

Location: Prairie Village, Kansas / Kansas City, Missouri
Position Type: Part-time  (30 hours / week)
Reports To: Executive Director  
Position Summary
The Program / Membership Specialist is responsible for coordinating, implementing, and evaluating the organization’s programs and services, and supporting and growing the organization’s membership.

This position works closely with program participants, current GGS members, volunteers, community partners, and staff to ensure that programs are well organized, responsive to community needs, and aligned with the organization’s mission.

As a small nonprofit, the Program/Membership Specialist is a hands-on position that requires someone who is comfortable providing administrative assistance where needed, managing multiple priorities, and stepping in wherever needed to help the organization succeed.

The Program / Membership Specialist reports to the Executive Director and works collaboratively with other part-time staff, volunteers, board members, and community partners.

Key Responsibilities
Program / Membership Management

• Coordinate / implement the organization’s programs, activities, and events, including the organization’s signature Lock It For Love gun lock distribution program.
• Provide administrative support for program and membership delivery, and assist the ED as needed.
• Manage day-to-day program operations and ensure programs run smoothly and effectively.
• Develop program schedules, materials, procedures, and timelines.
• Coordinate with volunteers, instructors, facilitators, vendors, and community partners.
• Identify opportunities to grow membership.
• Ensure programs and membership opportunities are accessible, welcoming, and responsive to the needs of the community.

Participant and Community Relations

• Build positive, respectful relationships with participants, volunteers, and partner organizations.
• Respond promptly and professionally to questions, concerns, and requests.
• Represent the organization at community meetings, events, and other public activities as needed.
• Maintain relationships with organizations and individuals that can strengthen the nonprofit’s programs.

Administration and Documentation

• Maintain accurate program records, calendars, attendance information, membership and participant data.
• Assist the Executive Director with mailings and office inventory.
• Track program expenses and assist with preparing and monitoring program budgets.
• Maintain program policies, procedures, forms, and other materials.
• Provide administrative support to other operational committees, including communications, advocacy and community engagement.
• Provide program information needed for grant applications and expense documentation.

Volunteer Coordination

• Help recruit, orient, schedule, and support program and membership volunteers.
• Provide volunteers with the information and resources they need to be successful.
• Recognize and appreciate volunteer contributions.
• Maintain appropriate volunteer records and schedules.

Fundraising and Communications

• Provide program information, photos, stories, statistics, and outcomes for newsletters, social media, annual reports, grant proposals, and other communications.
• Assist with fundraising events and donor activities as requested.

Other Responsibilities

• Participate in staff meetings and organizational planning.
• Assist with special events and projects.
• Maintain confidentiality and follow organizational policies.
• Perform other duties as assigned by the Executive Director.

Qualifications
Required:

• Bachelor’s degree or equivalent combination of education and relevant experience.
• 2–3 years of experience in nonprofit, community, education, social service, or program management work.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple projects and deadlines.
• Strong interpersonal skills and ability to work effectively with people from diverse backgrounds.
• Ability to work independently while also being a collaborative team member.
• Proficiency with Microsoft Office.

Preferred:

• Previous experience working for a small nonprofit organization.
• Experience supervising or coordinating volunteers.
• Experience working with community partnerships.
• Knowledge of social media applications, design software, zoom and/or proven ability to learn new software applications

Work Environment
This position is based in Prairie Village, Kansas, with a second office in Kansas City, Missouri. The actual workplace will be a combination of office, community, and program/event work, with some flexibility to work at home. Some evening or weekend hours may occasionally be required for programs or special events.
