Heartland Fund Senior Grants Associate [Remote]

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Heartland Fund Senior Grants Associate based in United States.

This is an exciting opportunity for a mission-driven grants professional to support a growing, multi-entity grantmaking organization. The role will help manage the full grants lifecycle while strengthening systems, documentation, compliance, and operational practices. You will work closely with program teams, grantees, finance, operations, and other internal partners to ensure grants are administered accurately and efficiently. The position also offers the opportunity to improve processes, strengthen trust-based grantmaking practices, and support effective use of grants management technology. This role combines hands-on execution with project management, training, and continuous improvement. It is well suited to someone who is highly organized, collaborative, resourceful, and motivated by equitable investment in rural communities, democracy, and climate solutions.

Accountabilities:

• Facilitate the full grants management lifecycle, including pre- and post-award activities, grantee eligibility reviews, due diligence, agreement preparation, reporting, documentation, and grant closeout processes.
• Maintain accurate and complete grant records, status information, programmatic tagging, and supporting documentation within the grants management system.
• Review and follow up on narrative and financial reports, ensuring required information is received, documented, and appropriately maintained.
• Coordinate with finance and operations partners to support grantee payments, reporting requirements, and legal and regulatory compliance.
• Serve as a knowledgeable resource for grants management processes, procedures, and systems, helping teams adopt streamlined and consistent practices.
• Support effective use of the grants management system for program planning, budgets, learning, decision-making, and grantmaking activities, while providing technical assistance to users.
• Identify and implement opportunities to improve grants management workflows, data governance, trust-based grantmaking practices, and organizational processes.
• Develop and deliver training and knowledge-sharing support for program teams covering forecasting, pipeline development, data analysis, compliance, and grants management practices.
• Partner with the Grants Management Officer and colleagues to develop and implement new approaches to grantmaking strategies and execution.
• Provide cross-team mentorship and help strengthen consistent, effective grants management and data governance practices.
• Collaborate across the organization on materials and information needed for boards, committees, strategic partnerships, and other organizational priorities.

Requirements

• At least four years of experience in the social sector, nonprofit environment, or another mission-driven organization, with five or more years of grants management experience preferred.
• Demonstrated knowledge of grants management processes and grants management systems; experience with Fluxx is preferred.
• Strong project management capabilities, including experience managing complex projects, coordinating multiple stakeholders, and balancing day-to-day execution with longer-term process improvements.
• Advanced proficiency with Google Workspace, including Docs, Sheets, Calendar, and Drive, as well as video conferencing platforms such as Zoom.
• Understanding of, or the ability to quickly learn, the financial and regulatory environment relevant to nonprofit and philanthropic organizations.
• Strong written and verbal communication skills, analytical thinking, organization, and attention to detail.
• A highly collaborative approach with a partnership mindset and the ability to work effectively across teams and with diverse stakeholders.
• A proactive, entrepreneurial, resourceful, and creative approach to solving problems and improving processes.
• Commitment to racial justice and equity, along with the ability to work respectfully and effectively with people from diverse backgrounds and perspectives.
• Experience in philanthropic organizations, fiscal sponsors, nonprofit intermediaries, funder collaboratives, or other grantmaking environments is preferred.
• Experience working within multi-entity 501(c)(3) and 501(c)(4) organizations or campaigns, including familiarity with lobbying and political activity compliance, is desirable.
• Experience training users and providing support for grants management systems is a plus.
• Strong interpersonal and customer-service skills, with the ability to work effectively with nonprofit organizations, government entities, foundations, and private-sector partners.
• Working proficiency in a second language spoken in rural America is desirable.
• Experience living or working in rural America is strongly preferred.

• Starting salary range of $75,650–$89,000 .
