Position Summary The Administrative Specialist III supports the Department of English, Rhetoric & Writing and Media Communication by providing administrative and clerical assistance to the department chair, faculty, and students. The role enhances program efficiency through event coordination, budget tracking, and record maintenance. The position reports directly to the Department Chair. Duties and Responsibilities 50% Administrative Support – Department operations: enter payroll and compensation for faculty, input course schedules into Workday, prepare textbook orders, process requisitions, take minutes, send departmental memos, maintain adjunct instructor records, proofread public relations materials, manage student workers, coordinate meeting rooms, assist with events, attend required training, and stay current on university policies. 50% General Clerical Support – student and faculty assistance: answer phones, provide navigation assistance, post signs for faculty, place supply orders, maintain office equipment, purchase approved equipment, perform reception duties, update facilities requests, conduct annual equipment inventory, and execute other clerical tasks as assigned. Other duties as assigned, with the understanding that responsibilities may evolve. Knowledge, Skills, and Abilities Effective communication with students, faculty, and staff. Proficiency in Excel/Google Sheets, word processing, Adobe Acrobat, and Canva. Quick learning of new tasks and ability to seek help when needed. Strong phone etiquette and discretion with confidential material. Attention to detail and ability to manage multiple priorities. Professional demeanor and ability to function in a team environment. Knowledge of office procedures and operation of standard equipment. Qualifications Required Education and Experience: High school diploma or equivalent plus one year of specialized training or experience in a related clerical field. Substitutions may be considered on a case‑by‑case basis. Preferred Education and Experience: Associate degree or higher in office administration or English, communication, or related field. Salary and Benefits Annual salary: $31,315. Benefits include university contributions to health, dental, life, and disability insurance; tuition waivers for employees and their families; 12 official holidays; immediate leave accrual; and a choice of retirement plans with 5–10 % contributions.
