Then WE want to: talk to you! Work Shield is seeking a Employee Relations Paralegal to join our growing Investigations Team in our office in Dallas, Texas. Job Description: This position supports employee relations, workplace investigations, and coordination while maintaining key administrative reporting and documentation responsibilities. The ideal candidate will bring HR and/or employee relations experience and the ability to manage sensitive workplace matters with professionalism and discretion within Work Shield's incident management portal and deliver key reports with data to leaders. In addition, this position will also assist on new client onboarding with the Client Success team to ensure a seamless onboarding for when incidents arise with an organization/client. Lastly, this position will be responsible for pre-screening, assigning and coordinating complex and sensitive workplace incidents including Title VII harassment and discrimination, Title IX harassment, discrimination and sexual harassment, retaliation and other workplace misconduct for our clients’ employee populations. The role is expected to work effectively across geographical, diverse and cultural boundaries. This role will be in direct contact with our internal and external investigatory partners, our clients and their employee populations, and our internal teams. Responsibilities: The Paralegal, Workplace Investigations will be assigned within the Investigations Team and works under moderate supervision. This role reports to and helps assist the head of the Investigations Team. Legal & Investigations Support Assist with preparing and organizing incident case documentation, including reports related to employee relations incidents, and workplace investigations. This includes gathering and reporting on established KPIs, as determined by the Executive Team, as well as any collaborative analysis of such KPIs. Gather case information as needed and internal client research as applicable, including any prescreening of incidents, or identifying and securing any missing information, as needed, for an incident that is submitted to Work Shield. Support attorneys and investigators with case coordination, incident assignments, documentation, reporting, KPI tracking, and case management system administration. Maintain case management systems and ensure accurate, timely recordkeeping and data analysis. This includes any collaborative data analysis of KPIs and such other incident case information of a client(s) or an investigator(s). Assist in tracking, analyzing, and reporting trends related to workplace misconduct and employee relations cases, including, but not limited to, any investigator-centric KPIs, as determined by the Executive Team and/or the CLO. Updating Work Shield's internal process documentation, as needed. This includes any updates required in Trainual, or such other process documentation, as needed or as determined by the Executive Team or the CLO. Employee Relations & Compliance Serve as a liaison between the investigations and client success teams to ensure seamless and compliant incident case management and resolution. Assist with the intake, documentation, and coordination of employee complaints or workplace concerns from a client Support HR and legal leadership in ensuring cases align with internal policies and applicable scope of what Work Shield provides to its client partners, as applicable and as determined from time to time and client-to-client. Handle highly confidential employee and employer information with professionalism and integrity. Participate and collaborate in developing and refining internal procedures for case management, documentation, and reporting. Support the Team Lead of Investigations and, as applicable, the CLO. Cross-Functional Collaboration Work closely with internal teams, including investigations and client success, to ensure effective communication and follow-through on incident and client management. Provide both administrative and strategic support to the investigation teams and, where needed, client success team. Assist in onboarding and training client HR partners on Work Shield’s case management process, ensuring a strong client experience. Assist in analyzing KPIs or metrics related to employee relations and investigations, or such other departments if applicable, as determined and needed from time to time. In addition to the items above, the following responsibilities may also apply: Manages the Investigations Team inbox and responds to incoming emails accordingly, within 24 hours of such receipt of an email. Initiates investigation process by calling client contacts for investigation party contact information, calling parties to the investigation, and/or, if needed, scheduling initial interviews with the assigned investigator. This includes any communication related to a party or client contact as it relates to an investigator out on sick leave or PTO, as applicable. Completes intake and conducts pre-screen assessment and call, if necessary, of incoming incident reports of discrimination, harassment, bullying, retaliation, hostile work environment, and other workplace misconduct based on protected Title VII and Title IX status through Work Shield’s call center and online reporting systems. This may include any analysis related to an incident assignment. Updates the incident report with additional details in follow-up to the complainant's request or oversight by the call center, as well as any applicable information from the client contact. Coordinates with investigators to assist in handling escalated claims and red alert issues. Schedules meetings and conference calls with relevant meeting agendas. Runs and analyzes routine incident investigation activity reports. Develops a working knowledge of federal and state equal opportunity and non-discrimination laws, regulations, including Title VII, Title IX, labor relations and other related laws and policies. Trains other investigators and Work Shield team members on investigation team processes and new portal enhancements. Works with the Development Team, or its designated person, to coordinate and communicate technical support issues related to the incident management platform. Operates with a people-centered approach in all interactions with team members, client contacts and their employees, external investigatory team, board members, and external stakeholders. Uses a high degree of empathy and handles sensitive and confidential information. Easily develops trust and rapport with others. Other miscellaneous investigation-related tasks and projects as assigned. Lives the values of Work Shield. Experience: Bachelor's Degree from an accredited college or university Certification in Paralegal Studies, preferred, but not mandatory 3–5+ years of experience as a paralegal or employee relations specialist, ideally with exposure to employment matters and/or workplace investigations. Experience partnering with HR or handling employee relations cases strongly preferred. Excellent written and verbal communication skills. Strong attention to detail and ability to manage multiple cases simultaneously. Ability to exercise sound judgment and discretion in handling confidential employee matters. Proficient in case management systems with experience in HR and/or Employee Relations matters. Strong technology capabilities in running reports, gathering data and providing quick analysis. Experienced use of Excel and Excel Reporting Bi-lingual (English/Spanish) strongly preferred Compensation and Benefits: The salary range for people entering this role is up to $90,000, or commensurate with relevant experience and qualifications, and in alignment with internal equity. This role is also eligible for a discretionary bonus based on individual and organizational performance and goal attainment.
