Job Title: Planning & Interface Coordinator II Location: Houston, TX (On-site / Hybrid as required) Position Type: Contract -12month+ Position Overview We are seeking an experienced, detail-oriented Planning & Interface Coordinator II to provide critical analytical, reporting, and coordination support for a major energy project. Based in Houston, this role acts as a key operational hub supporting the Project Planning & Reporting Team Lead, Interface Manager, and the broader Project Management Team (PMT). You will manage cross-functional partner queries, track commitments, build executive-level presentations, steward project performance data, and coordinate secondee administration across consortium partners and global stakeholders. Key Responsibilities Stakeholder Interface & Workflow Management Serve as the central focal point for partner and consortium queries (CoV); intake, characterize, route, and drive responses to closure with subject matter experts. Manage official project correspondence logs, track external commitments through resolution, and maintain audit-ready traceability for decisions and actions. Coordinate secondee mobilization, onboarding workflows, readiness checklists, and travel/invitation documentation across international teams. Planning, Reporting & Performance Visibility Compile, format, and analyze complex project performance data, accruals, and status reports using Excel and specialized project systems. Design, build, and maintain performance dashboards (Airtable, Power BI, Excel) tracking action items, bottlenecks, reporting deliverables, and query throughput. Support the Project Leadership Team (PLT) and Informatics Leadership Team (ILT) with scheduling, workshop facilitation, and operational review coordination. Executive Presentations & Information Management Develop polished, high-impact management presentations and briefing packages for executive leadership, partners, and government bodies. Design and manage SharePoint sites and electronic document repositories, ensuring document-control integrity, standardized archiving, and controlled distribution. Map and document business processes, standard operating procedures, and templates to streamline recurring operational activities. Qualifications Required: Bachelor's degree, college diploma, or equivalent professional experience. 3+ years of experience in project coordination, interface coordination, business operations, or project administration. Advanced proficiency with Microsoft 365 applications, specifically advanced Excel (data manipulation, reporting) and PowerPoint (executive decks), alongside Word, Teams, and SharePoint. Proven track record tracking complex workflows, managing correspondence logs, and driving action items across cross-functional teams. Exceptional written and verbal communication skills, with demonstrated capability engaging respectfully and persistently with senior technical leaders. Strong professional maturity, discreet handling of confidential management information, and composure in fast-paced, evolving environments. Preferred: Direct experience supporting major capital projects, joint ventures (JVs), consortia, or engineering teams within the oil & gas / energy sector. Working knowledge of tracking and visualization platforms such as Airtable, Power BI, Power Automate, or Aconex.
