Administrative Services Coordinator

Mains'l Services is hiring an Administrative Services Coordinator. This position will work alongside the Support Services team, providing a variety of administrative services to internal stakeholders. This position also develops and maintains collaborative working relationships with external stakeholders, including service vendors and contractors. This is a fast-paced, evolving position, and an exciting opportunity for the right person.

The Day-to-Day:

  • Supports customer service specialist and office clerk on various assignments by providing information/objectives, goals, direction, and coaching of work on assignments.
  • Provides backup to the customer service specialist, including front desk coverage.
  • Provides various administrative supports throughout the agency, including ordering materials, special projects, mailing, and updating documents.
  • Supports coordination for securing event facilities and coordinating event planning.
  • Supports offsite storage pick up boxes and needs.
  • Compiles, transcribes, and distributes meetings minutes upon request.
  • Sits on Employee Recognition Committee and collaborates with supervisor and HR in employee recognition events.
  • Coordinates with supervisor for office equipment and office supply needs and purchases.
  • Works directly with cleaning company to assure office is a clean and safe work environment.
  • Partners with supervisor and property manager on any maintenance of common spaces for appearance and functionality.
  • Codes and processes payments for office supplies, office utilities and vendors, materials, etc.

Location: Brooklyn Park, MN Work Structure: 8:30am-5pm Monday to Friday Wage: $26.42-$31.28/ hour

What You Need:

  • 4 + Years of Administrative Work Preferred
  • Excellent communication, problem-solving, and organizational skills.
  • Detail-oriented with a focus on accuracy and efficiency.
  • Excellent customer service skills, outgoing, motivated, team player.
  • Experience in various software, including Microsoft Office Suite.
  • Experience using database and other technologies.
  • High emotional intelligence.
  • Ability to work on multiple duties with frequent interruptions.
  • Analytical and strategic decision making, and critical thinking related to people, data, and situations.
