We are an innovative institution committed to student success and well known for our flexibility to meet student and community needs.The Business Manager I provides administrative, financial, operational, and programmatic support for Workforce Development while serving as a central resource for business operations across all Workforce Development program areas. The incumbent coordinates business processes that support the planning, delivery, and administration of Workforce Development programs and contract training initiatives. The Business Manager I is responsible for coordinating contract invoicing for Workforce Development contract training activities; serving as the cost center alias for all Workforce Development cost centers; coordinating procurement and purchasing activities through the College's REQM system; providing executive-level administrative support to the Executive Director of Workforce Development; and supporting contract administration activities for the Business Solutions Specialist. The position works collaboratively with Workforce Development program staff, the Continuing Education and Workforce Development (CEWD) Operations team, business clients, instructors, and other College departments to ensure accurate financial processing, efficient business operations, and exceptional customer service. The individual in this position performs work under general supervision with moderate latitude for independent judgment, initiative, and decision-making while managing multiple priorities in a dynamic, customer-focused environment. Reports to: Executive Director of Workforce Development The hiring salary for this position will be from the min to mid-point of the salary range advertised. This position is open until filled.Specific Duties and ResponsibilitiesEssential Functions: 35%- Business Operations, Financial Administration & Budget CoordinationMaintains internal shadow accounting records for all Workforce Development cost centers, grants, and special funds.Administers and reconciles monthly expenditures and financial records, ensuring accounting transactions are accurately reflected in Colleague.Monitors fund availability and advises Workforce Development leadership on budget status, expenditures, and projected balances.Identifies and resolves budget discrepancies while coordinating corrective actions with Accounting.Responds to requests for financial information and prepares financial reports for Workforce Development leadership.Assists the Executive Director in the preparation, development, and monitoring of the annual operating budget by researching historical data, enrollment trends, projected course offerings, and anticipated expenditures.Serves as the cost center alias for all Workforce Development cost centers.30%- Procurement, Contract Administration & Business ServicesCoordinates procurement activities for all Workforce Development program areas by preparing requisitions and processing purchases through the College's REQM system.Coordinates contract invoicing and monitors payment status for Workforce Development contract training.Serves as the central point of coordination for contract training business processes, including timelines, billing, closeout activities, and collaboration with ConEd Operations, Accounting, and other College departments.Processes teaching contracts and LOA invoices for payment.Orders instructional materials, textbooks, office supplies, and other program resources.Manages purchasing, ordering, refunds, and vendor communications related to Workforce Development operations.15%-Executive & Administrative OperationsProvides executive-level administrative support to the Executive Director of Workforce Development.Coordinates meetings, conferences, interviews, and client meetings.Drafts correspondence, reports, presentations, memoranda, and other business documents.Initiates and monitors personnel-related documentation for new and existing employees.Serves as Workforce Development's new hire coordinator.Maintains departmental files, databases, instructor records, and business documentation.Manages departmental mail and administrative workflows.15%-Program Operations & Contract Training SupportCoordinates operational support for Workforce Development contract training activities.Supports Workforce Development staff in the planning and delivery of contract training.Coordinates instructional materials and class startup materials including rosters, evaluations, name tags, table tents, and instructional supplies.Assists Workforce Development staff with contract course scheduling and provides recommendations based on historical enrollment and operational needs.Advises new adjunct faculty regarding departmental procedures and maintains instructional resources including master syllabi.Tracks instructor and course evaluations and supports continuous quality improvement initiatives.5%-Customer Service, Communication & Special ProjectsServes as the primary point of contact for students, instructors, business clients, vendors, and the public.Provides exceptional customer service by responding to inquiries, resolving issues, and coordinating follow-up activities.Assists with marketing communications, including email campaigns and customer outreach.Participates in committees, task forces, and special projects.Performs other duties as assigned in support of Workforce Development operations.Additional Duties: Performs other related duties as assigned.Minimum Education and TrainingRequired Education and Experience:Associate degree required.Minimum of two years of progressively responsible administrative, business operations, financial, or office management experience.Proficient in Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.Strong interpersonal, organizational, analytical, and problem-solving skills.Demonstrated attention to detail and accuracy.Preferred Education and Experience:Bachelor degree in Business Administration, Accounting, Finance, Public Administration, or a related field.Experience supporting executive leadership.Experience with budget administration, financial reconciliation, procurement, or accounts payable processes.Experience coordinating contracts, invoicing, or business operations.Experience working in higher education, workforce development, or a public-sector environment.Experience using enterprise financial or student information systems (e.g., Colleague, REQM, or similar systems)Licenses, Certifications, or Additional Requirements:Valid driver's license and ability to travel between college campuses and off-site locations as required.Must maintain confidentiality and exercise discretion when handling sensitive financial, personnel, and business information.Minimum Qualifications and Standards RequiredKnowledge, Skills and Abilities:Knowledge of business operations, budgeting, financial recordkeeping, procurement, and general office administration.Ability to coordinate multiple projects, deadlines, and competing priorities in a fast-paced environment.Ability to analyze information, identify problems, and recommend appropriate solutions.Excellent organizational, planning, and time management skills with exceptional attention to detail.Excellent verbal and written communication skills with the ability to communicate effectively with students, instructors, business clients, vendors, and College personnel.Ability to establish and maintain collaborative working relationships across multiple Workforce Development program areas and College departments.Ability to work independently while exercising sound judgment and initiative.Ability to maintain accurate records and prepare reports using Microsoft Office Suite and enterprise information systems.Demonstrated commitment to providing exceptional customer service to internal and external stakeholders.Ability to maintain confidentiality when handling financial, personnel, and contractual information.PHYSICAL DEMANDS The work is mostly sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly. WORK ENVIRONMENT Work is performed in a relatively safe, and secure work environment. Normal work schedule is during standard College business hours. Occasional evening and weekend work may be required to support meetings, special events, contract training, and other Workforce Development activities.
