About the Position

Venture Builders is seeking an experienced Estimator and Production Coordinator to join our team in Virginia. This is a key role responsible for guiding projects from the initial client consultation and estimating process through preconstruction and production.

The Estimator and Production Coordinator will work closely with clients, designers, subcontractors, vendors, and internal production staff to develop accurate estimates, establish project expectations, coordinate the transition from estimating to production, and help ensure projects are completed according to scope, schedule, and budget.

The ideal candidate combines strong construction estimating skills with the ability to oversee production activities, communicate effectively with clients and trade partners, and make sound decisions that protect both project quality and company profitability.

Key Responsibilities

Client Consultation & Preconstruction

- Participate in client meetings alongside the Design team to understand project goals, scope, budget, and expectations.
- Establish clear expectations regarding project timelines, processes, communication, and next steps.
- Partner with the Designer to understand how design concepts and selections affect project scope and pricing.
- Ensure clients understand the transition from the design and estimating process into production.

Construction Estimating & Proposals

- Develop complete and accurate construction estimates based on project scope, labor, materials, subcontractors, and overhead.
- Review project scope and selections to ensure estimates accurately reflect the work to be performed.
- Confirm pricing supports established company margin targets.
- Prepare and present proposals, options, allowances, and pricing clearly to clients.
- Revise estimates and pricing as project scope, selections, or client requirements change.
- Prepare contracts and obtain client signatures.
- Prepare and present change orders when additional work or scope changes are required.
- Maintain accurate estimating and project information within company systems.

Production Coordination

- Oversee production staff and support the successful transition of projects from preconstruction into production.
- Create baseline project schedules and establish key milestones.
- Coordinate preconstruction kickoff meetings with Design, Production, and homeowners.
- Ensure all project documentation is complete before construction begins, including plans, specifications, selections, scope notes, and other required information.
- Help ensure production activities remain aligned with the approved scope, schedule, and client expectations.
- Support production staff in addressing issues that arise during active projects.
- Remain involved throughout production for escalated client concerns, significant changes, and other issues requiring management attention.

Subcontractor & Vendor Coordination

- Initiate communication with subcontractors and key vendors to obtain pricing, availability, and lead-time information during estimating and preconstruction.
- Confirm subcontractor scope and schedule expectations before projects begin.
- Coordinate the transition of ongoing subcontractor scheduling to the production team once a project is active, unless otherwise determined.
- Develop and maintain effective working relationships with subcontractors and vendors.
- Communicate project requirements and expectations clearly to trade partners.

Contracts, Billing & Collections

- Prepare and distribute progress invoices and final invoices according to established schedules.
- Monitor accounts receivable and follow up as necessary to support timely payment.
- Assist with contract execution and change order documentation.
- Help ensure project financial performance remains aligned with approved estimates and company margin expectations.

Client Relationship Management

- Maintain appropriate involvement with clients throughout production.
- Serve as an escalation point for significant client questions, concerns, and project issues.
- Communicate changes, expectations, and project information clearly and professionally.
- Protect the client relationship while also protecting the company's scope, schedule, and profitability.

Qualifications

- Experience in construction estimating, residential construction, production supervision, or a related construction role.
- Strong understanding of construction materials, labor, subcontractor pricing, and project costs.
- Demonstrated ability to develop accurate estimates and identify the costs associated with project scope.
- Experience working with subcontractors and vendors.
- Ability to understand project plans, specifications, selections, and scope documentation.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Strong client service and relationship-building skills.
- Ability to manage changing priorities and multiple projects or deadlines.
- Strong problem-solving and decision-making abilities.
- Ability to understand and work toward project margin and profitability objectives.
