Outpatient Access Representative

Job location: 601 Elmwood Ave, Rochester, NY14642. Position: Full‑time, Worker Subtype Regular, 40hrs/week, evening shift 3:00‑11:30pm. Compensation: $18.50–$24.98 per hour. Responsibilities Receive patients and initiate a positive ambulatory experience. Verify patient identification using two identifiers and confirm the correct provider, referring provider, and primary care physician. Direct patients to the next destination, obtain required signatures, and assess special needs. Maintain appearance and order of the waiting area and handle personal health information (PHI) in accordance with HIPAA. Collect patient demographic and financial information efficiently and verify accuracy for billable service. Enter data into the electronic medical record (EMR) and revenue cycle system. Schedule new and return visits, pre‑register patients, coordinate ancillary testing or referrals, and follow up on missed appointments and cancellations. Print After Visit Summary (AVS) at check‑out when appropriate, ensuring the summary is given to the correct patient. Collect co‑pays, prepare end‑of‑day deposits, and reconcile discrepancies. Answer phone calls promptly and courteously, sort calls to providers, open telephone encounters in EMR, and route encounters appropriately. Coordinate outgoing calls, forward calls, page providers, and take messages. Edit and correct registration errors, complete missing registration data, and assist in charge reconciliation. Ensure accuracy of patient schedules and identify ways to reduce repetitive or corrective work. Manage multiple EMR processes, including In Basket messaging and referral work queue processing, ensuring concise and accurate entries. Assess urgency of situations, determine routing, serve as a resource for complaints, and apply service recovery concepts. Assist provider template changes and escort patients into the treatment corridor when required. Perform additional duties as assigned. Qualifications High school diploma and at least one year of experience in an administrative or customer service field; or completion of Vision Care 1,2,3 courses. Knowledge of medical terminology preferred. Proficiency in word processing and data entry into a database. Demonstrated commitment to the University’s ICARE values. Ability to work independently, efficiently, and customer‑friendly, while maintaining accuracy and compliance with PHI and HIPAA regulations.
