Administrative Assistant - Jackson, TN

SMS Mill Services, LLC, located in Jackson, TN is seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in providing administrative support to ensure the efficient operation of this site. The ideal candidate will be responsible for pieces of payroll, recruiting, ordering parts, managing inventory, and acting as a team member for HR. This position requires a professional demeanor and the capability to communicate effectively with various stakeholders. This position is inside a steel mill in a heavy industrial setting.

*Please note: This position is not due to start until November 3, 2025, and will train a few weeks with the dedicated employee retiring from this position.

SMS provides a comprehensive range of services for steel mill customers. We partner with our customers to design custom, cost-effective solutions, which focus on adding value and achieving goals for the operation and the environment. Our range of services includes, but is not limited scrap yard management, finished or semi-finished product services, melt shop services, logistics/transportation support, and slag processing.

Responsibilities

• Conduct necessary purchasing as needed, matching PO’s to invoices to ensure accuracy. Obtain quotes for requested purchases, create requisitions, receive materials and services rendered in JD Edwards
• Assist with Payroll – tracking, inputting and monitoring time & attendance.
• Assist employees with HR related issues: new hire paperwork, forms, changes, etc.
• Assist with hourly employee recruiting
• Develop and maintain positive working relationships with co-workers, customers and vendors.
• Work as part of the team to meet, or exceed, KPI (Key Performance Indictor) efficiency and performance standards.
• Provide support to team members by managing correspondence and preparing documents.
• Maintain office supplies inventory and place orders as necessary.
• Handle confidential information with discretion and integrity.
• Support various administrative projects as assigned.

Requirements

• Proven experience as an Administrative Assistant or in a similar role for 2+ years
• Prior experience working in a heavy industrial site is a plus
• Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent organizational skills with a keen attention to detail.
• Effective time management abilities to prioritize tasks efficiently.
• Strong phone etiquette and interpersonal communication skills.
• Ability to work independently while also being a collaborative team player.
