Accounts Receivable Specialist

Job Type: Full-time - On-site Location: Los Angeles, CA Industry: Manufacturing (Standing Desks) and DTC E-Commerce The Role As our Accounts Receivable Specialist, you will be responsible for managing incoming payments, ensuring accuracy in invoicing, and maintaining healthy cash flow. You will work closely with sales, customer service, and finance teams to resolve discrepancies and improve billing and collection processes. Key Responsibilities Invoicing & billing: Generate and issue accurate invoices to customers across multiple sales channels (e-commerce, wholesale, and custom orders). Collections management: Monitor accounts to identify outstanding balances and follow up on overdue payments through calls, emails, and statements. Cash application: Record and reconcile incoming payments (credit cards, bank transfers, and other payment platforms). Account reconciliation: Perform regular reconciliations of customer accounts and resolve discrepancies efficiently. Dispute resolution: Collaborate with internal teams to investigate and resolve billing issues, chargebacks, and payment disputes. Reporting & analysis: Prepare AR aging reports, track collection performance, and provide insights to improve cash flow. Process improvement: Identify inefficiencies in AR processes and recommend automation or workflow improvements. Compliance & documentation: Maintain accurate records and ensure adherence to company policies and accounting standards. Cross-functional collaboration: Work closely with sales, operations, and finance teams to ensure smooth order-to-cash processes. Ideal Candidate Profile Detail-oriented and highly organized with strong follow-through. Proactive communicator who can confidently follow up on outstanding payments. Strong problem-solving skills with the ability to resolve discrepancies efficiently. Comfortable working in a fast-paced, high-volume transaction environment. Process-driven mindset with an interest in improving systems and workflows. Qualifications 5-10 years of experience in accounts receivable or a similar accounting role. Strong understanding of AR processes, invoicing, and collections. Experience with accounting software and ERP systems. Proficiency in Microsoft Excel or Google Sheets. Excellent communication and interpersonal skills. Ability to manage multiple accounts and deadlines simultaneously. Experience in e-commerce or manufacturing is a plus.
