We are seeking an energetic Front Office Administrative Assistant to join our successful team! You will perform detailed administrative tasks and engage in frequent client communications via telephone, email and text.

Responsibilities:

• Receive client calls in a professional and friendly manner
• Assist clients in a timely, professional manner and/or coordinate assistance from others in the office
• Maintain and manage an organized list of daily open items and follow up promptly to resolve
• Ability to follow a schedule and written procedures
• Schedule and confirm appointments daily
• Receive and log documents and client notes into CRM
• Create and close projects
• Reliably charge credit cards, post payments and assist with collecting accounts receivable and occasionally create invoices
• Document management - Scanning, saving and organizing .pdf documents utilizing various software programs
• Help maintain office appearance
• Track and order supplies
• Upload/receive documents to/from secure portal
• E-file income tax returns and track e-file authorization forms
• Document new procedures and update existing procedures
• Greet and assist onsite clients/guests
• Ability to work well with others and keep department supervisors informed of critical information from clients

Qualifications:

• Ability to prioritize, multitask and work independently
• Professional written and verbal communication skills, utilizing proper grammar
• Previous experience (Preferred) office administration with an accounting firm, financial services, or other professional organization
• Ability to learn basic tax preparation and accounting terminology to effectively communicate with clients
• Strong attention to detail and organizational skills
• Ability to work efficiently
• Comfortable working with and learning how to use Outlook, Microsoft Office, Lacerte, QuickBooks, SmartVault and other applications
