Sales & Client Relationship Coordinator (Part-time)

Our mission is to empower our community through highly customized care, and were looking for a Sales & Client Relationship Coordinator whos as passionate about people as they are about Pilates, Gyrotonic, and therapeutic massage.

About the Role

This role is perfect for someone who thrives in a premium, client-focused environment. FitWise is widely recognized for having the most highly skilled instructors in the area, with a trusted reputation that brings in consistent referrals directly from local surgeons, chiropractors, and physical therapists.

Operating internally as our Community Manager, you will be the face and voice of this premium brand. You will be responsible for converting high-quality incoming leads, building lasting relationships, and selling customized private/duet packages to help clients establish a consistent, regular practice. You will also seamlessly guide clients who are ready for group fitness toward memberships at our sister studio, MNT. What Youll Be Doing

Lead Conversion & Package Sales

• Manage high-trust inquiries: Confidently communicate with and onboard premium leads.
• Make 20+ outbound calls per day to actively engage new client leads, follow up current client on inquiries, and reconnect with former clients.
• Convert incoming leads into lifelong clients by listening to their wellness goals and booking introductory packages, customized private/duet sessions (Pilates & Gyrotonic), and massage treatments.
• Drive studio revenue by confidently matching clients with the appropriate packages and package extensions to upgrade them into a regular, committed practice.
• Act as a bridge to our sister studio, MNT, proactively identifying and supporting clients who are ready to transition from custom private care at FitWise into group classes and memberships at MNT.
• Manage lead activity and client profiles using Mindbody and Mariana Tek.

Client Experience & Retention

• Create warm, lasting first impressions for every new client walking through our doors.
• Ensure private and duet clients feel completely supported, welcomed, and cared for across their entire wellness journey to maximize long-term retention.
• Proactively monitor client engagement and reach out to keep individuals inspired, accountable, and consistent with their appointments.
• Build strong relationships that naturally lead to word-of-mouth referrals and deep studio loyalty.

Studio Operations & Administrative Support

• Maintain a clean, organized, and inviting environment across the main studio and our brand-new private massage room.
• Support local marketing efforts, studio events, and community partnerships within Mill Valley.
• Professionally manage front-desk tasks, including phone calls, emails, and complex multi-modality scheduling inquiries.

What You Bring to the Team

• Sales-Driven Mindset: You genuinely enjoy consultative selling, converting leads, closing package sales, and hitting performance metrics.
• Experience in Boutique Wellness: Prior knowledge of Pilates, Gyrotonic, group fitness, or bodywork is a strong plus.
• Strong Communication: Confident on the phone, polished in person, and clear in writing.
• Tech-Savvy: Highly comfortable navigating CRM and scheduling tools. Experience with Mindbody is highly preferred; familiarity with Mariana Tek is a plus.
• Solutions-Oriented: A quick thinker with a natural focus on delivering high-end, seamless client experiences.
• People-Person: High energy, approachable, empathetic, and genuinely passionate about community connection.
• Schedule & Flexibility: Looking for approximately 10 hours per week to start, with the expectation to pick up additional shifts as needed and work occasional studio events (which may include some weekends).
