Senior Executive Personal Assistant

A Montecito-based principal is seeking an exceptional Executive Personal Assistant to provide high-level administrative, personal, travel, lifestyle, and project coordination support. This is a trusted, detail-oriented role for someone who can bring structure, judgment, discretion, and calm execution to a busy and dynamic personal and professional life.

The role is primarily remote, with approximately 75% of the work handled virtually and in-person support needed for errands, local coordination, mail/files, events, and occasional project-related needs. The ideal candidate is highly organized, proactive, polished in written communication, comfortable operating independently, and able to anticipate needs before being asked.

The assistant will manage a complex calendar, coordinate meetings and Zooms, organize schedules into efficient blocks, review and edit emails or presentations, track follow-ups, coordinate with vendors and service providers, schedule personal appointments, manage receipts and documentation with the finance controller, organize mail and files, handle gifting, secure restaurant reservations, and help plan personal or business-related events.

The role also includes coordinating travel logistics, including flights, hotels, ground transportation, private aviation-related details, itineraries, and real-time changes. Additional support may include vehicle inspections, service appointments, airport movements, and special projects, including construction-related meeting notes, action items, vendor follow-up, and deadline tracking.

The right candidate will have prior experience supporting a founder, CEO, principal, family office, or high-net-worth household. Strong writing skills, sound judgment, confidentiality, technical fluency, excellent follow-through, and a service-oriented mindset are essential. A valid driver's license, clean driving record, and proximity to Montecito/Santa Barbara are required. xhyhwjd
