Summary The Scheduling Coordinator reports directly to the Administrator and is responsible for guiding and coordinating all scheduling-related activities of the HomeCare business. This position includes leadership in areas of the business including maintaining positive relationships with caregivers and clients and organizing schedules to accommodate both clients and caregivers. This position entails establishing a positive office culture where caregivers want to work, promoting office initiatives, and keeping good communication with caregivers. The Scheduling Coordinator will be responsible for staffing all requested shifts and new client cases. Additionally, the Scheduling Coordinator will be responsible for collaborating with the Franchise Partner and Administrator to enhance employee satisfaction and morale as well as revenue growth. Qualifications Knowledge of scheduling and on-call procedures (preferred) Possess at least one year experience in healthcare or home care, working with the elderly, disabled or individuals requiring supportive services (preferred) Proficiency in computer skills (Google Suite, Excel, Power Point, etc.) Knowledge of scheduling software (Axiscare) or CRM preferred Must possess leadership skills, human relations abilities, customer satisfaction skills, and organizational skills Well-honed time management skills Exemplary communication skills, both verbal and written Essential Duties and Responsibilities Regular communication with caregivers Regular communication with clients and their families Schedules shifts and hours by matching caregiver qualifications and availability to client’s needs Watching a daily visit list to be sure all caregiver shifts are completed for our clients Filling in shifts when there is a change or cancelled shift in a client or caregiver schedule Communicates new assignments and/or schedule changes to CGs and clients Processes data necessary to initiate accurate payroll and billing processes Participates in on-call rotation as assigned. Participates in client care conferences as requested by immediate supervisor Works with Client Care Manager and Employee Care Manager to assist in resolution of CG issues Weekly reporting of accountabilities Client Care Manager/Scheduler Answering calls from referral sources, prospective clients and/or their family members to educate them about our services and care options, existing clients and employees. Follow up with prospect calls regarding services Maintain and monitor all scheduling daily, claiming Continuous updating pay rate for caregivers that work with T1019, and or private pay clients Claiming corrections daily and weekly Monitor and update Client Care Plans as needed Maintaining Authorizations and updating clients plans as needed Contacting Case Managers resolving Client issues, concerns and or updating Authorizations Contacting Clients daily to remind of their services for next services Communication with Family members regarding Clients Schedules and or concerns Resolving Clients complaints Audit AAA calendars weekly and for the month Creating new clients care plans Creating New Prospects accounts Covid investigations Complete and continuous updating of Log sheets, medication logs for certain private pay clients Monitoring inventory gloves Monitoring of all doctors’ appointments Contacting caregivers to go over their availability, updating in their calendars Answering incoming calls Daily messaging of Caregivers to check their schedules or offer to work other shifts Monitor new client’s services, follow up after caregivers have worked Follow up with caregivers after working with new clients Speaking with new caregivers after on boarding making sure they understand the scheduling process, that they know how to get the information they need for their clients and how to clock in and out. Check in with private pay clients to see how they feel about the services that they are receiving. When talking with Caregivers and noticing credentials are expired letting them know that they need to contact office per updating their credentials. Intake Call and Schedule Conducts intake call to book HA Occasionally do intake Communicate with office on client progress. Caregivers Counselling and terminations Clock in clock out Counsels on using all hours On Call duties as scheduled Documents all calls and info into Axiscare This job description is not intended to be all inclusive.
