We are seeking an organized, detail-oriented, and professional Tax Practice Administrator to join our CPA firm. The ideal candidate will possess excellent communication and organizational skills, strong technical abilities, and the ability to manage multiple responsibilities in a fast-paced, deadline-driven environment.

The Candidate will need to learn and effectively use Canopy Tax (practice management system) and Lacerte and CCH Axcess (tax preparation).  These systems interact with both admin and professional staff.

Client Services and Administrative Support

• Serve as a point of contact for clients, providing professional and courteous assistance by telephone and email.
• Support tax professionals with administrative tasks related to the preparation and filing of tax returns.
• Organize, maintain, and track client tax documents within our document management system.
• Coordinate the distribution of tax returns, client correspondence, and important updates.
• Monitor the receipt of client information and follow up on outstanding documents as needed.
• Maintain accurate and confidential client records.

Practice Management and Staff Coordination

• Oversee and maintain the firm's practice management system to ensure efficient workflow and timely completion of assignments.
• Coordinate tasks, deadlines, and priorities with professional staff and partners.
• Monitor the progress of tax engagements and assist with managing workflow during peak tax seasons.
• Identify opportunities to improve administrative procedures and office efficiency.

Technology and IT Coordination

• Coordinate with outside technology vendors to support the firm's software, hardware, and general IT needs.
• Assist with maintaining and implementing the firm's written Information Technology and Security Plan.
• Help ensure that office technology systems and software applications operate efficiently.
• Serve as a liaison between staff, partners, and outside IT service providers to resolve technical and operational issues.

Qualifications and Skills

• Excellent written and verbal communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to prioritize multiple assignments and meet deadlines.
• Proficiency with Microsoft Outlook, Word, and Excel.
• Familiarity with Adobe Acrobat, Canopy Tax, Lucidchart, CCH Axcess, and Lacerte is highly desirable.
• Strong computer skills and the ability to learn new software applications.
• Ability to work independently while collaborating effectively with staff and partners.
• Professional demeanor and commitment to maintaining client confidentiality.
• Previous administrative experience in a CPA firm, accounting practice, or other professional services environment is preferred.
