Customer Service Specialist

Job Description The Account Representative I is responsible for a limited number of external customer accounts, providing administrative support to the Coil Customer Service department to ensure necessary tasks are completed and customer requirements are met. The role involves performing multiple administrative tasks in collaboration with various departments to respond to customer needs, maintain strong customer relationships, and ensure efficient processing of critical customer information. Responsibilities Promptly process incoming orders received from external customers via email, phone, fax and EDI. Coordinate and communicate with several internal departments on a daily basis to ensure customer requirements are met, including production scheduling, shipping, purchasing, sales, quality control and other internal departments across five Coil coatings plants throughout the US. Maintain customer‑required metrics and recurring reports. Responsible for daily invoicing of customer shipments from 5 manufacturing sites and 4 off‑site warehouses. Work with off‑site warehouses to ensure accurate shipment information is received and invoice shipments daily. Enter transfer orders daily from production facilities to 3 off‑site warehouses to maintain appropriate inventory levels to service customers. Receive transferred material at 3 off‑site warehouses and 8 customer consignment warehouses, ensuring accurate transactions and troubleshooting inventory discrepancies. Process all customer consignment billing timely and accurately. Work closely with CSR’s on consignment warehouse inventory discrepancies to invoice promptly. Receive material in 8 customer consignment warehouses and correct system errors with transfers, running weekly reports to troubleshoot failed transfers. Process carrier freight claims timely to ensure Sherwin Williams is compensated for lost and/or damaged material and update Valtrack with required information. Process customer credits and debits timely to clear short payments and/or clear customer AR balance. Process field and line claims credits timely to customers and maintain Claims spreadsheet. Process customer rebates received from Finance timely. Own the Precoat Buyback program, following up with Precoat, plant QA and receiving contacts to ensure timely return and processing of Precoat Debit Memo’s for credit. Investigate aged inventory and work with demand planning, sales and CS team to determine solutions to stagnate inventories. Enter customer complaints in detail utilizing Sherwin Williams’ internal quality system. Follow‑up on customer issues timely and obtain support with key personnel as needed. Qualifications Minimum Requirements: Must have one (1) year of customer service experience. Must have a high school diploma. Must have experience with Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Preferred Requirements: Have secondary education.
