QA Complaint Intake Specialist / QA Complaint Triage Associate
The QA Complaint Intake Specialist / QA Complaint Triage Associate supports the complete intake and triage process for medical device complaints related to the iovera product line. In this role, you accurately capture complaint information in the electronic Quality Management System (eQMS), ensure all required details are obtained and documented, and prepare complaint records for evaluation by QA Complaint Investigators. You help maintain high-quality standards and regulatory compliance by managing complaint documentation with precision, timeliness, and strong cross-functional collaboration.
Responsibilities
- Receive, review, and accurately document medical device complaints associated with the iovera product line.
- Enter and maintain complaint information within the electronic Quality Management System (eQMS) and other complaint handling systems.
- Determine the number of distinct complaint events from emails and supporting communications and document them correctly.
- Identify missing, unclear, or inconsistent information in complaint reports and coordinate timely follow-up to obtain clarification.
- Prepare complete and well-documented complaint records for evaluation by assigned QA Complaint Investigators.
- Ensure all complaint records meet internal quality standards and comply with applicable medical device and quality system requirements.
- Manage multiple complaint records simultaneously while meeting required timelines and service expectations.
- Collaborate closely with cross-functional partners, including Customer Support, Field Sales, Medical Affairs, QA, Operations, and Complaint Investigators, to resolve issues and gather necessary information.
- Maintain organized, accurate, and up-to-date documentation for all complaint activities.
- Use Microsoft Word, Excel, Outlook, and quality systems to support daily complaint handling and reporting tasks.
- Contribute to a culture of quality, continuous improvement, and patient safety through diligent complaint intake and triage.
Essential Skills
- Minimum 13 years of relevant experience in Quality Assurance, complaint handling, medical device or pharmaceutical documentation, customer support, or another regulated industry.
- Basic understanding of medical device and quality system requirements.
- Experience with complaint handling in regulated medical device or pharmaceutical environments.
- Experience with electronic Quality Management Systems (eQMS) or regulated documentation systems.
- Strong organizational skills with the ability to manage multiple complaint records within required timelines.
- Strong attention to detail and ability to accurately review, interpret, and document information.
- Ability to determine the number of complaint events from emails and supporting communications.
- Ability to identify missing or unclear information and proactively coordinate follow-up.
- Good written, verbal, and interpersonal communication skills for effective cross-functional collaboration.
- Proficiency with Microsoft Word, Excel, Outlook, and quality systems.
- Ability to work effectively with cross-functional teams, including Complainants, Customer Support, Field Sales, Medical Affairs, QA, Operations, and Complaint Investigators.
Additional Skills & Qualifications
- Experience in a regulated medical device or pharmaceutical environment is preferred.
- BS/BA degree in a scientific, technical, healthcare, or quality-related discipline is desirable; equivalent experience may be considered.
- Experience with complaint handling systems in addition to eQMS is preferred.

Pay and Benefits
The pay range for this position is $25.00 - $29.03/hr.
