Description

Position Summary

The Project Controls Specialist supports Project Managers and field operations teams with project scheduling, reporting, documentation, and general project administration. This position helps keep project information organized and assists with communication between the office and field.

The Project Controls Specialist will assist with project setup, scheduling, daily reporting, document control, resource coordination, and project closeout activities.

Essential Duties and Responsibilities

Project Scheduling & Planning
  • Assist Project Managers and Operations with maintaining project schedules.
  • Track project milestones, deliverables, and key deadlines.
  • Monitor schedule updates and communicate potential delays or conflicts to the appropriate team members.
  • Assist with coordinating manpower, equipment, and resource schedules.
  • Support weekly and monthly look-ahead planning.
  • Maintain project calendars and scheduling information.
  • Assist with subcontractor scheduling and project sequencing as needed.
Project Administration
  • Provide day-to-day administrative support to Project Managers.
  • Assist with project setup, execution, and closeout activities.
  • Maintain project files, contracts, permits, drawings, specifications, and correspondence.
  • Organize and distribute project documentation, revisions, and client communications.
  • Assist with meeting agendas and meeting minutes.
  • Maintain action item logs and follow up on outstanding items.
Daily Reporting & Documentation
  • Collect and compile daily reports from field supervision.
  • Track labor, equipment utilization, production quantities, and material usage.
  • Assist with preparation of project status reports.
  • Maintain project records and documentation in company systems.
  • Support progress reporting for clients and internal management.
  • Help ensure project documentation is complete and current.
Project Communication & Coordination
  • Assist with communication between Project Managers, field personnel, clients, subcontractors, and vendors.
  • Coordinate project meetings and distribute meeting notes.
  • Track outstanding project issues and action items.
  • Help ensure project information is communicated to the appropriate team members.
  • Provide timely administrative and coordination support to project teams.
Cost Tracking Support
  • Assist Project Managers with basic project cost tracking and reporting.
  • Collect and organize cost-related information from field and office teams.
  • Maintain change order documentation and tracking.
  • Assist with quantity and project progress tracking.
  • Help maintain project performance information and reports.
Project Closeout
  • Assist with collecting project closeout documentation.
  • Help organize as-built records, turnover packages, and final reports.
  • Ensure required documentation is properly filed and archived.
  • Assist Project Managers with final client documentation and other closeout activities.
Qualifications
  • Associate's or Bachelor's degree in Construction Management, Business, Engineering, Project Management, or a related field preferred.
  • 2+ years previous construction, utility, pipeline, industrial, or project coordination experience preferred.
  • Working knowledge of Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Experience with scheduling software such as P6 Primavera is a plus.
  • Familiarity with construction project documentation and reporting practices is preferred.
  • Strong organizational and time-management skills.
  • Effective written and verbal communication skills.

Physical Requirements
  • Ability to sit and work at a computer for extended periods.
  • Occasional travel to project sites.
  • Ability to walk active construction sites and navigate uneven terrain as needed.
Employee may perform other related duties as delegated to meet the ongoing needs of the company.
