Location Manager

Law Firm – Northglenn and Longmont, Colorado Althaus Law is a team that focuses on estate planning and probate law. We are looking to find the right fit for our team in the form of a Location Manager for our Longmont location. This position would support our attorneys, paralegals, and support staff. Being part of the team includes protecting and building the law firm's reputation. We require this position to enhance their own reputation and the firm’s visibility through networking groups. You will be running the daily ins and outs of your specific location, managing the team and ensuring everyone has what they need to succeed. Other duties include: People Management Holding cadence meetings with your direct reports to ensure numbers are hit and people have what they need to be successful Conducting annual and 6-month reviews of team members Providing consistent and regular feedback to everyone as well as being able to receive the same Training new employees and interns Working with Payroll and HR to ensure efficient systems, payroll is run correctly, team issues are resolved, and PTO is reported accurately Onboarding and offboarding team members when necessary Organizing and running team meetings and fully participating/helping with other meetings you do not necessarily organize yourself Setting and completing Wildly Important Goals (WIGS). Also ensuring that your team is setting and meeting their goals as well. Actively networking in the community Administrative Location Management Working with Accounting so budgets are set and followed, probate billing is accurate, revenue numbersare correct, and attorney reporting is accurately displayed in HubSpot Having the ability to manage your calendar and your team’s calendar impeccably Making sure policies are followed and reviewed for relevance Working with the marketing team to make sure the best marketing strategies are being used and the ads are quality checked Office & Client Operations/Administration Answering phones and taking messages Managing the calendar and scheduling appointments Client communication, including following up on client tasks and meetings Thank-you letters Meeting reminders Greeting and seating clients (everyone in our office is expected to do this) Organizing and maintaining files Running necessary errands Managing client relationships and performing quality control checks to ensure the team is doing the same Software & Reporting Tracking billable hours Using law firm software (CLIO) Maintaining your own time log in the systems as well Updating Trello and other internal systems As a location grows, and if you are successful in your position, the need for an Administrative Assistant will likely arise. Some of the below duties will begin with the Location Manager, but have the potential to be given to Administrative Assistant in the future: Processing probate bills individually in CLIO when received from attorneys Reconciling receipts and updating our internal Cases Complete document Reconciling credit card receipts Reporting errors to the executive team and Accounting Celebrations And Team Building Assist with Birthday cards and reminders, anniversary cards and reminders, and organizing happy hours between offices. Be the lead organizer for gamer days (in conjunction with HR) Assisting with the division of labor between offices Taking people to lunch Rewarding people for doing great and encouraging them where growth is needed Office Operations and Maintenance Organizing office repairs and general maintenance Ensuring the location has more than enough stock and supplies Ensuring groceries are ordered and in place within budget Informing clients for closures/assigning that task out Working with HQ to ensure all attorneys have registered with the state and bar associations Working with the executive team to make sure property insurance, malpractice insurance, and liability insurance for the location are set Being the IT liaison and troubleshooter Salary and Benefits The starting salary for a Location Manager is $65,000-75,000/year.
