Facilities Manager Full Time, White Plains, NY, US 3 days ago Requisition ID: 1429 Salary Range: $90,000.00 To $105,000.00 Annually Legal Services of the Hudson Valley (LSHV) has been providing free, high‑quality legal counsel for civil matters when basic human needs are at stake. We support almost 600,000 poor and low‑income families and individuals in our seven‑county service area. LSHV is the only provider of comprehensive civil legal services in the lower and mid‑Hudson Valley, with ten offices staffed by attorneys, paralegals, and administrative professionals. Position Description The Facilities Manager and Safety Officer will be responsible for physical infrastructure and implementation of comprehensive safety policies and procedures at LSHV’s 11 locations throughout the Hudson Valley. Facilities Management Responsibilities Provide technical expertise in planning, construction, and maintenance of building infrastructure and equipment. Manage and support facility modifications and capital improvement projects, collaborate on space allocation, floor plans, office moves, and expansions, and oversee facilities‑related work on site. Perform routine inspections of facilities and equipment and diagnose minor issues with plumbing, electrical, HVAC, and other mechanical systems. Coordinate transport and retention of closed case files with Senior Director of Operations and Attorneys‑in‑Charge to meet central storage mandates. Manage annual purge of obsolete central storage files, obtain certificates of destruction, and coordinate with vendor and Attorney‑in‑Charge teams. Work cross‑functionally with the Senior Director of Operations and Attorneys‑in‑Charge to execute maintenance and facility projects. Communicate with landlords/management companies to resolve rental premise issues, including site visits for repairs. Assist senior management with strategic planning and annual budgeting for facilities projects within financial guidelines. Maintain agency‑wide asset logs and complete asset audits in coordination with local offices. Keep real‑estate and equipment lease projections current and conduct monthly reviews and physical inventories. Act as LSHV’s safety officer, arranging active shooter training, emergency plans, fire drills, and security audits. Manage and maintain security systems, responding when local office staff are unavailable. Assist CFO and Office Manager of Finance and Administration in compiling insurance data, liaising with brokers, and ensuring coverage on new leases and acquisitions. Assist with IT‑related duties, such as building machines or conference room setups. Monitor and manage the Building Management System (BMS). Schedule elevator maintenance and annual inspections. Schedule fire extinguisher annual inspections and fire flow valve testing, and conduct quarterly smoke detector testing. Add and remove staff from alarm systems with All Time Detection. Update Disaster Recovery Plan, Emergency Management Plan, calling tree, and emergency contact lists; test DRP procedures with MSP in coordination with IT. Secure vendor quotes for various projects, manage vendors, and ensure completion of all facility repairs and work. Manage office cleaning schedules for all locations. Assist with personnel moves within or between buildings. Ensure quarterly preventive maintenance of HVAC, split systems, gas & steam‑fired burners. Review and approve Accounts Payable invoices related to facilities work. Other duties as delegated by Senior Director of Operations. Qualifications Experience in facilities maintenance and project management. Excellent proficiency in Excel, PowerPoint, and strong proficiency in Word. Strong communication skills, both verbal and written. Willingness to work overtime or on‑call as required. Ability to multitask and prioritize events and responses. Basic architectural design program skills preferred but not required. Proven experience in facilities maintenance or a similar role. Strong knowledge of plumbing, electrical, HVAC systems, and general repair techniques. Ability to use hand tools, power tools, and diagnostic equipment. Excellent problem‑solving skills and attention to detail. Good communication and interpersonal skills. Ability to work independently and manage time effectively. Physical stamina and strength to handle lifting, carrying, and standing for extended periods. May involve working in various conditions, including exposure to dust and noise.
