Guest Services Manager

The Retreat Services & Office Manager provides administrative leadership for the daily operations of the Jesuit Spiritual Center. This position serves as the primary point of contact for retreatants and visitors, manages retreat registration and office operations, coordinates communications and hospitality, and supports the Executive Director and staff in advancing the mission of the Jesuit Spiritual Center.

MAJOR RESPONSIBILITIES AND REGULAR ACTIVITIES

1. Greets visitors and retreatants in a friendly, professional manner in person, on the phone, and through email,
2. Coordinates JSC Adult Ministry retreat registrations, reservations, confirmations, cancellations, and guest communications using the Center's registration database
3. Collaborate with the Director of Hospitality to maintain the retreat management database, organizational calendars, facility schedules, and meeting space reservations
4. Manages office supplies, equipment, and vendor orders to ensure efficient office operations
5. Distributes incoming mail and postal deliveries
6. Prepares & distributes Adult Retreat materials, room assignments, booklets, name tags, and schedules; handles payment of remaining retreat fees on-site.
7. Collaborates with the Adult Ministry, Youth Ministry, Development, Marketing, Hospitality, Facilities, and Finance departments to ensure seamless planning and execution of retreats and events
8. Represents the Jesuit Spiritual Center in its ministry to Catholic schools, colleges, universities, parishes, and other partners
9. Maintains confidentiality of retreatant and donor information
10. Assists with financial transactions, payments, deposits, and reconciliation of retreat registrations
11. Assists with special events and fundraising activities
12. Answers multi-line telephone and respond promptly to email inquiries
13. Distribute welcome packets and door signs

1. Practicing Catholic in good standing who embraces the mission and values of the Catholic Church and the Jesuit Spiritual Center
2. Demonstrates some appreciation for Ignatian spirituality and a willingness to deepen one's understanding of the Spiritual Exercises and the mission of the Society of Jesus
3. Effective interpersonal, verbal, and written communication skills and values customer service
4. Excellent organizational skills with attention to detail
5. Willingness and ability to practice flexibility and to think on the spot
6. Pastoral skills in compassionate listening and providing feedback
7. Ability to welcome and work with diverse groups and individuals (race, socioeconomic, religion, etc.)
8. Ability to work both independently and collaboratively
