Job description

The Program Director oversees the day to day management and operation of the hospice program. The Director ensures hospice services are delivered in an efficient and cost effective manner maximizing customer satisfaction. Ensures compliance with all applicable federal, state and local laws, rules and regulations.

Reports to the Chief Operations Officer.

Qualifications:

  • Has a Master’s degree in administration or a health related field, and at least two (2) years of supervisory or administrative experience in hospice care or in a health care setting OR a baccalaureate degree in administration or health related field and four (4) years of supervisory or administrative experience in hospice care or in a health care setting.  RN Required/BSN Preferred.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Ability to effectively present information to administration, department heads, public groups, and/or boards of directors.
  • Ability to organize and manage staff, operations and systems.
  • Knowledge of computer software i.e. Microsoft word, excel, Outlook.
  • Ability to define problems collects data, establish facts and draw conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract concrete variables.
  • Demonstrates ability to organize and manage staff, operations and systems.
  • Demonstrates self-directed activity and organizes work effectively and efficiently.
  • Demonstrates ability to analyze financial data and reports.
  • Demonstrates effective writing and speaking skills.
  • Must have access to reliable transportation.
  • Possesses current driver's license in the state in which services are provided.
  • Must have proof of automobile insurance coverage for the automobile being utilized during work hours.
  • Recognizes the needs and concerns of people (including colleagues) and maintains constructive relationships in dealing with staff.
  • Ability to adapt to changing organizational needs.
  • Speaks, writes, reads and comprehends English.
  • Ability to work flexible hours as required to meet identified needs of our customers.

  • Must possess a strong commitment to the goals, mission and philosophy of the organization.
  • Refines, revises and enforces philosophy, goals objectives, policies and procedures of Hospice.
  • Assure coordination of all services provided by Caring Hospice Services.
  • Participates in hiring qualified personnel and managers for their Caring Hospice Services program, including contracted personnel.
  • Establishes and maintains community contacts necessary to the operation of their hospice program.
  • Prepares required reports for the Department of Health (state specific as needed), Joint Commission and other accrediting agencies and maintains compliance.
  • Assures appropriate implementation and maintenance personnel policies, procedures, staff orientation, education and records for their Caring Hospice program.
  • Planning and administering the managerial, operational, fiscal and reporting components of the Program.
  • Maintains liaison and assures preparation of reports for the Governing Body of Caring Hospice Services, the professional advisory committee, the Regional Director of Quality Assurance.
  • Evaluates Hospice education activities and in-services for effectiveness.
  • Markets and maintains relationships with hospitals, community physicians, and Care Facilities.
  • Demonstrates by behavior and promotes the philosophy and goals of hospice staff, referral sources and consumers.
  • Designates in writing a qualified person to act in his/her absence.
  • Demonstrates competent knowledge and skills to assure that the assessment treatment or care is appropriate to the age of patients served (neonates, pediatrics, adolescents, adults and/or geriatrics).
  • Reviews, evaluates and suggest revisions to the Regional Director of QAPI of Caring Hospice Policies, procedures and standards as required.
  • Participates with other community agencies and other Hospice personnel in promoting desirable community action.
  • Researches and disseminates information regarding new trends and developments about hospice.
  • Assures appropriate intake for all patients enrolling in the program. Assumes responsibility for admissions and intake assuring appropriate patients are enrolled in hospice and that accurate/complete demographic/clinical data is obtained.
  • Conducts educational programs for current and prospective clients.
  • Other duties as assigned by management to satisfy the needs of the organization.
  • Complies with accepted ethical conduct and professional standards.
  • Provides leadership in promoting and maintaining standards.
  • Develops work methods and procedures that facilitate the rendering of high quality care.
  • Maintains liaison with the community’s health and health related resources
  • Evaluates the employees under his/her supervision and documents the results.
  • Assess the direct and indirect outcome of identified problems.
  • Investigates complaints and takes appropriate action.
  • Assess supplies and equipment needs and analyzes the cost impact.
  • Creates an environment for people to work together efficiently and effectively.
  • Conducts all aspects of his/her administrative role in a fair, consistent and objective manner.
  • Conveys ideas so that people understand what has been said or written.
  • Serves as a member of the Professional Advisory Committee.
  • Participates in local professional organizations and activities.
  • Promotes Caring Hospice Services, in the local community.
  • Organizes the review, analysis and appraisal of the agency’s total program annually.
  • Direct day to day management operations of their Caring Hospice Services Program.
  • Oversees the financial management of the hospice ensuring appropriate application of the approved budget and arranging for of the fiscal audits.
  • Makes written and oral reports/recommendations to the Governing Body as necessary concerning the operations of their Program.
  • Ensure hospice policies and procedures regarding all activities and patient/family care services are implemented appropriately.
  • Utilizes effective problem solving and decision making approaches, identifies root cause of problems and issues, formulates potential solutions, solicits appropriate input and evaluates effectiveness of solutions.
  • Ensures an effective QAPI program
  • Ensures that appropriate action is taken to correct problems identified by QAPI, audits patient complaints, patient/family recommendations, etc.
  • Ensure that all protected information is maintained to ensure confidentiality.
  • Coordinates the established marketing program and implementation of strategies ensure maintaining established referral sources, the development of new sources and markets.
  • Ensure the provision of services and general operation of the hospice conform to all applicable federal, state and local statutes regulations.
  • Writes and reviews contracts with other community agencies.
  • Interfaces and coordinates all related regulatory communications and activities
  • Responsible for direction of the recruitment, hiring and supervision of all hospice program staff, as appropriate.
  • Develops and/or directs an effective staff training and development program for program personnel. Identifies areas in need of growth, provides opportunities for growth conducts competency/proficiency reviews.
  • Effectively and efficiently/timely utilizes tools of supervision to provide data on staff performance, provides feedback to staff throughout the evaluation period.
  • Ensure that disciplinary actions are administered fairly and without regard to race, color, creed, national origin, age, sex, religion, handicap, or marital status.
  • Conducts employee counseling and guidance.
  • Interfaces with HR department re: compliance and human resources management as needed.
  • Demonstrates competency in each of the key areas related to the position,( i.e. hospice, customer service orientation, budget implementation, establishment of contractual arrangements for services, coordination of program services resource management).
  • Develops and facilitates efficient working relationships and effective communication among and between other departments within the total organization as well as contracted providers.
  • Participates in program development as per the organizations strategic plan,
  • Ensure the appropriate staff to patient/staff ratio is in place to facilitate quality care.
  • Ensure that 24-hour coverage/service availability is maintained on an ongoing basis.
  • Conducts planning and organization effectively. Plans work to ensure that all responsibilities of position are accomplished according to the organization’s mission, goals, objectives and standards.
  • Models positive, respective behaviors and communication with staff peer and supervisors.
  • Encourages and supports team building strategies, works with the team to develop systems that foster cooperation and coordination of efforts, models and instills a sense of ownership of the team’s activities in all team interactions, identifying strengths of team members, encouraging sharing knowledge and skills.
  • Responds promptly to patient request.
  • Act as a role model in confidentiality, professionalism, appropriate attire, unbiased interpersonal relationships and work attitudes.
  • Ensures confidentiality of patient records/Information.
  • Attends interdisciplinary meetings and staff meetings to enhance team communication, coordination of services and quality of services as needed.
  • Participates in performance improvement activities as requested.
  • Implements a multidisciplinary approach to patient care by assessing and identifying the patient’s needs for other agency services and communicating that need to the designated team leader and/or the patient’s physician.
