Job Description We're looking for a passionate professional to play a key role in the day-to-day running of the Clubhouse-facilitating communications, managing schedules, organizing information and managing relationships with internal stakeholders and visiting Sam's Club members. The Administrative Assistant will be a collaborative team member with a friendly work style, who can effectively prioritize, multi-task and take initiative with projects. Sam's Club is building Clubhouse, a dedicated space for ideas, collaboration and solutions that push our business forward and strengthen our commitment to being a member-obsessed organization. It's a 37,000 sq. ft. design studio opening soon in Bentonville, Arkansas. Here's where we'll imagine next-generation retail experiences, by designing for physical and digital experiences, prototyping, user testing and so much, much more. What you'll do:
- Support large meetings, conferences, research studies, team off-sites and other events.
- Greet, direct and support associates and members who are visiting the Clubhouse.
- Be a security liaison for Clubhouse, ensuring access and entry processes are controlled and maintained.
- Keep the Clubhouse running smoothly daily by ordering and distributing supplies for multiple activities.
- Coordinate travel arrangements, both domestic and international (flights, hotel, car service)
- Facilitate expense reporting processes and vendor invoicing.
- Manage calendars, details and prioritization with ease.
- Proficiency in Microsoft Office programs including Excel and PowerPoint.
- A strong sense of urgency, enjoy working independently and are comfortable with change.
- Previous experience at an advertising or digital agency
- Experienced working both with internal employees and the public
- Solving problems effectively while maintaining professionalism and integrity
- Protecting the confidentiality of information received as part of job responsibilities.
