As a Procurement Transplant Coordinator, you will provide primary medical care to authorized organ donors in hospital intensive care units and OneLegacy recovery facilities. The care consists of managing hemodynamics and pulmonary function to secure perfusion and oxygenation to the lifesaving organs for transplant. Job Details Job Type: Full‑time, Non‑exempt Work Setting: In‑person and Donor Service Area Travel: Employees are required to travel within our service area. Summary of Functions The Procurement Transplant Coordinator I (PTC‑I) is the clinical professional responsible for all aspects of the organ procurement process at a hospital within OneLegacy’s DSA and at a OneLegacy Recovery Center. The PTC‑I’s responsibility begins with assisting hospitals to identify and report potential donor referrals and proceeds through the organ recovery procedure. The PTC‑I is responsible for reinforcing and supporting all processes of donation as outlined in the UAGA (Uniform Anatomical Gift Act). The clinical element requires direct medical donor care, with an emphasis on assessment, resuscitation, physiologic management, organ allocation, documentation, packaging and labeling of organs for transplant or research at the time of recovery. The PTC‑I directs the medical treatment regimen to meet the assessed needs of the donor in accordance with established medical practices, the donor requirements, policies & procedures, and the practices and goals of OneLegacy. The PTC‑I will identify and support the psychosocial needs of donor families and loved ones with direct aid from OneLegacy family support teams. Administrative, training, and regulatory responsibilities are included within this vital role at OneLegacy. The PTC‑I will support hospital development in his/her assigned hospitals and conduct professional and public education presentations about organ, eye and tissue donation. The PTC‑I is delegated the administrative authority, responsibility, and accountability necessary for carrying out assigned duties. Essential Job Functions Referral Management Process Respond promptly and appropriately to potential donor referrals to assess suitability and enhance the donation process. Establish and enhance relationships with hospital staff to increase referral activity. Introduce yourself to the bedside nurse and charge nurse, advise them of impending departure, and inquire if anything is needed before leaving the facility. Collaborate with the RTS, CRS, SOP, Medical Director of Referral Management, and/or clinical leadership to manage active referrals. Access and review the referring hospital’s medical records; transcribe appropriate information to digitalDONOR fields per OneLegacy policies and practices. Consult with hospital staff to evaluate organ function and identify early stages of medical derangements. Formulate a treatment plan at direction of the Medical Director of Referral Management and advocate for interventions needed to preserve donation opportunities. Make written and oral reports/recommendations to the attending physician, transplant physician, Medical Director, consulting intensivist and CRS concerning donor status and care. Develop and communicate a plan for continuity of care and progression of the referral. Review medical‑legal documentation pertaining to brain death declaration for completeness and accuracy per hospital policy, California Health and Safety codes, and current American Association of Neurology Guidelines; provide direction to complete documentation as needed and send acceptable documentation to the RTS and CRS. Perform administrative duties regarding the patient, such as completing digitalDONOR charting, and other required forms. Implement and maintain established policies, procedures, safety and infection control; report these to relevant stakeholders. Family Support Process Identify authorizing party and language requirements; document family dynamics and relevant information for approach. Collaborate with hospital care team, RTS and/or Family Care Specialist Resources during end‑of‑life discussions to ensure the authorizing party receives the opportunity for donation appropriately. Discuss elements of authorization with the authorizing party and/or family members. Obtain authorization per UAGA and verify necessary medical‑legal documentation. Complete Donor Risk Assessment Interview (DRAI) and obtain follow‑up information. Organ Donation Process Respond to donor referrals or assigned cases at shift start unless otherwise instructed by CRS/RTS. Obtain accurate medical information for evaluation and assess potential organ and tissue donors per OneLegacy, regulatory and/or credentialing guidelines. Support the donation process with family and/or authorizing party. Coordinate all aspects of donor management. Ensure accurate charting in the hospital and OneLegacy EMR systems. Collaborate with Medical Examiner/Coroners, tissue recovery staff, hospital staff, social services and clergy. Coordinate logistics for multiple organ procurements and allocation cases; maintain consistent communication with Donor Allocation Coordinator. Verify completion of all required medical‑legal documentation per OneLegacy and governing guidelines. Provide organ/donor information to organ allocation staff as required. Maintain all chart documentation in the OR during and after recovery, including completion of the Confidential Donor File at case conclusion. Donation Development Process Review Not Brain Dead Status Board and conduct site visits on referrals. Participate in “Presence with a Purpose” with the Donation Development Coordinator to educate hospitals. Coordinate and conduct scheduled education on donation and transplantation with the DDC at assigned hospitals. Participate in OneLegacy signature events such as the Donation and Transplantation Symposium and Donate Life RunWalk as requested. Promote positive relationships with all hospital and clinical staff. Participate in hospital meetings to present information or address donation‑related issues. Join hospital‑sponsored clinical rounds and other case‑finding activities. Debrief the Donation Development Coordinator after a case. OneLegacy Recovery Center Responsibilities The PTC‑I will be required to achieve PTC‑II status upon demonstrated proficiency and documentation per Appendix A within 24 months of hire. Personnel Functions Maintain professional conduct with both internal and external customers. Cooperate with other personnel to achieve company objectives and maintain good relations. Meet with and solicit advice from Medical Directors, Senior Leadership, and other stakeholders concerning donor patient care. Maintain effective relationships with health professionals, physicians, consultants, and family members involved in every donation process. Work Schedule Responsibilities Share schedule responsibility with other PTC‑I staff (seven 12‑hour shifts per paid period every two weeks). Be willing to work additional shifts as needed to uphold OneLegacy’s mission. Travel within OneLegacy’s Donor Service Area to respond to referrals or donor cases. Give verbal report to incoming staff upon assignment completion. Carry OneLegacy‑issued devices and case materials; ensure equipment functions properly during scheduled shifts. Ensure location services on OneLegacy devices work properly during scheduled shifts. Other Responsibilities Stay professionally current with required certifications or licensure. Comply with all UNOS policies and requirements. Attend staff meetings and scheduled trainings as required, except protected time off. Support the organization’s Standards of Professional Conduct and represent OneLegacy’s mission, vision, and values. Observe a code of ethics requiring truthfulness, honesty and personal integrity. Perform other duties as assigned. Knowledge, Skills, and Abilities Assume responsibility without direct supervision; exercise initiative. Keep accurate records, perform statistical analyses, and interpret data. Keyboarding skills for use of a personal computer. Interpersonal skills to work with all levels of management and medical professionals. Excellent written and oral communication skills, including public presentations. Instructional skills in written and verbal form. Ability to perform patient transfers and lift up to 50 pounds. Function as an effective team member. Maintain confidentiality of donor and recipient information. Job Qualifications and Requirements Education: RN or RT (Bachelor’s degree preferred). Candidates not licensed RN or RT may be considered at the COO/CIO’s discretion. Experience: Critical care patient management (ICU, OR, ER, pre‑hospital) required. Certification/License: Must achieve PTC‑II status within 24 months of hire. Basic Cardiac Life Support (BCLS) required at hire; Advanced Cardiac Life Support (ACLS) and Pediatric Advanced Life Support (PALS) required within orientation. California driver’s license and vehicle insurance required. Equipment: Must use office equipment (computer, fax, calculator, copier/scanner, cell phone). Reliable transportation required. Compensation and Benefits Salary Range: $84,788.34 – $108,879.23 Salary determined by scope of responsibilities, experience, education, skills and market conditions.
