Executive Assistant

This role provides high-level executive and administrative support to multiple senior executives, with a strong focus on calendar management, prioritization, travel, meeting coordination, and confidential information. The ideal candidate should be able to:

• Manage complex executive calendars and resolve scheduling conflicts.
• Act as a calendar gatekeeper, understanding executive priorities and protecting their time.
• Coordinate internal/external meetings, take notes, and follow up on action items.
• Prepare executive presentations using Google Slides and other office tools.
• Coordinate All Hands, off-sites, team events, and virtual meetings.
• Manage domestic and international travel arrangements end-to-end.
• Handle expenses, credit card reporting, and purchase orders.
• Maintain Slack channels, distribution lists, shared folders, and team repositories.
• Coordinate onboarding for new senior leaders.
• Support other Executive Assistants when needed.
• Manage multiple executives with different working styles and priorities.
• Exercise strong judgment, discretion, confidentiality, and independence.
• Adapt quickly to changing priorities and use AI/technology to improve efficiency and quality.
• Demonstrated ability to manage multiple executives with differing working styles.
• Excellent written and verbal communication skills.
• Strong organizational skills and high level of integrity with demonstrated discretion in handling confidential information.
• Ability to adapt quickly in response to changing priorities and minimal direction.
• Looks for ways to leverage AI and technology to achieve quality and efficiency.
• Ability to execute tasks and make informed decisions with little to no executive intervention, exercising high-level discretion and sound judgment.
