Accounts Receivable and Deductions Analyst

B-Corp Certified . illy caffè North America (ICNA) is seeking a detail-oriented, experienced accounts receivable professional to join our team as the Accounts Receivable and Deductions Analyst at our New York City office location. This position is FT with 3 days per week required in the NYC office.

The Accounts Receivable and Deductions Analyst is primarily responsible for supporting the credit and collections function by analyzing customer accounts, identifying collection risks, and providing actionable financial insights to improve cash flow and reduce outstanding receivables. This role requires extensive knowledge of accounts receivable processes including dispute resolution, customer deductions, promotions, and trade spending within a Consumer-Packaged Goods (CPG) environment.

Core Responsibilities

• Process and apply customer payments received through wire transfers, ACH, credit cards, and other payment methods, investigating and resolving deductions and disputes; submitting invoices through customer portals; and reviewing new customer orders for credit compliance
• Assist with the month-end close process, including preparing journal entries, reconcile accounts receivable balances, and supporting related financial reporting activities.
• Manage the complete invoicing and collections cycle, including posting invoices, monitoring customer accounts, processing payments, and maintaining accurate accounts receivable records.
• Perform detailed analysis of accounts receivable data, including aging reports, delinquency trends, account reconciliations, and customer account status reviews to support collection efforts and cash flow management.
• Partner with Sales and Marketing teams to process customer deductions, promotional allowances, and trade spending activities utilizing third-party deduction management software.
• Utilize advanced Excel skills to analyze, code, and record customer deductions within the accounting system. Investigate deduction claims, support dispute resolution efforts, and provide required documentation.
• Monitor and maintain accounts receivable balances within established performance targets, including Days Sales Outstanding (DSO). Evaluate customer creditworthiness and make recommendations regarding credit limits, payment terms, collection strategies, and write-offs.
• Support continuous improvement initiatives by identifying opportunities to enhance accounts receivable processes, strengthen internal controls, and improve collection efficiency.

Skills, Knowledge and Experience

• 3-5yrs of experience in accounts receivable/collections in consumer goods setting with strong deductions experience
• Ability to work with database systems and retrieve relevant information from existing facilities
• Skilled in using Microsoft Office products, especially Excel and Word
• Strong business communication skills in both spoken and written forms
• College degree preferably in business
