Position Purpose As a Legal Administrative Assistant , you will play a critical role in supporting the Legal and Asset Protection teams through a broad range of confidential legal, administrative, and regulatory compliance activities. You will help ensure the timely and accurate processing of legal matters, maintain critical records and documentation, coordinate compliance-related activities, and serve as a key resource for contract administration and legal support functions. Coordinate service of process matters, including court documents, wage garnishments, legal notices, and agency requests. Assist with litigation support activities, including legal holds, document collection, and response tracking. Access government agency portals, track deadlines, and support responses to regulatory inquiries and investigations. Prepare drafts of legal correspondence, notices, and other business-critical documents for attorney review. Serve as administrator for the Company's contract management system and maintain contract records throughout their lifecycle. Manage confidential legal files, records, and documentation while ensuring compliance with retention requirements. Support onboarding of outside counsel and process legal invoices and related documentation. Serve as a resource for contract retrieval requests and legal document status updates. Help manage regulatory compliance programs, including those related to WIC, HIPAA, alcohol, tobacco, and other regulatory requirements. Coordinate documentation and responses related to law enforcement and regulatory agency requests. Provide project coordination and administrative support for legal, compliance, and cross-functional business initiatives. Partner with executives, business leaders, and external stakeholders to support legal and regulatory processes. Assist with Asset Protection programs, including check cashing compliance, fraud reporting, and vendor management activities. Build strong internal relationships while maintaining the highest level of professionalism, discretion, and confidentiality. Who You Are Detail oriented and highly organized. Must Haves Associate degree in a law-related field or an equivalent combination of education, training, and experience. Minimum of three (3) years of legal administrative, legal assistant, paralegal support, or related experience. Current Arizona Notary Public commission or ability and willingness to obtain and maintain an Arizona Notary Public commission as a condition of employment. Knowledge of legal terminology and legal administrative practices. Knowledge of service of process procedures and governmental legal filing requirements. Experience supporting responses to subpoenas, legal notices, or government agency requests. Experience working with legal databases, document management systems, spreadsheets, and office software applications. Proficiency with Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint. Ability to effectively interact with all levels of management and build strong professional relationships. Strong organizational, analytical, and problem-solving skills. Ability to prioritize work, manage multiple assignments, and adapt to changing business needs. Demonstrated ability to maintain strict confidentiality. Ability to work independently and exercise sound judgment in handling complex matters. Physical Demands This position is on-site in the office, 5 days a week.
