Job Summary and Responsibilities

As our Office Specialist III, you will provide expert administrative support for our rehabilitation services department. You will oversee front-office operations, including patient reception, medical records management, insurance authorizations, and billing accuracy to ensure seamless, professional healthcare delivery.

Every day you will manage patient scheduling, handle multi-line inquiries, and maintain precise demographic records. You will leverage your knowledge of CPT/ICD coding to reconcile batch charges and ensure clean claim submissions, maintaining an efficient environment that supports both patients and clinical staff.

To be successful in this role, you will bring at least two years of outpatient healthcare experience and exceptional data entry proficiency. You must be a detail-oriented problem solver capable of working independently under pressure.

• Assist with the gathering and processing of all necessary information and data to complete all requirements in medical records, referral, insurance authorization, billing, and any medical treatment purposes.
• Maintain critical thinking skills and understanding of what should be present on a complete encounter form/superbill in order to submit a clean claim via the computer systems to payers.
• Strong data entry skills. Responsibilities may include data entry from patient encounter forms/superbills for patient charges in all computer systems.
• Schedule and confirm patient appointments and revise appointments as needed/requested. Maintain and report patient appointments accurately in the computer system to appropriate therapists.
• Maintain strong, current knowledge of CPT and ICD-9 coding.
• Greet patients/caregivers and provide whatever assistance needed in a manner that reflects a high quality of services with the understanding that the provision of quality medical care requires active teamwork and professional conduct.

Job Requirements

Required

• High School Diploma or GED
• Two (2) years experience in an outpatient clinic, physician office or health care setting.

Preferred

• Certified Coding Associate
