Assistant Project Manager

The Role You’ll support the delivery of complex commercial projects while developing expertise in every aspect of project management. This isn’t about administrative support - it’s about learning to become a guardian of quality, mastering our systems, and growing into a future project leader on architecturally significant projects. Key Responsibilities Project Documentation & Systems Management: Master Procore for all project documentation, RFIs, submittals, and meeting minutes Process submittals within one week of receipt, ensuring compliance with contract documents Maintain accurate project logs (COP log, RFI log, submittal log) with meticulous attention to detail Create and distribute meeting agendas 24 hours before all meetings Complete meeting minutes within 2 workdays and distribute via Procore Financial Administration & Accuracy: Code invoices on Mondays, Wednesdays, and Fridays without exception Assist with monthly applications for payment, ensuring accuracy in all calculations Support buyout documentation and maintain subcontract tracking Help prepare Work in Progress reports with updated schedules and change order logs Schedule & Communication Support: Update project schedules weekly under PM guidance Maintain 3-4 week lookahead schedules for subcontractor meetings Respond to all emails within 24 hours, copying job folders appropriately Support daily huddles and weekly subcontractor progress meetings Ensure all documents are distributed as PDFs to prevent alteration Field Coordination: Attend and document pre-installation meetings for critical trades Support the Superintendent with Last Planner board updates Help coordinate subcontractor communications and constraint tracking Assist with RGGC punch list creation and tracking in Procore What Success Looks Like Master the Details: Learn our procedures inside and out - accuracy and timeliness are non‑negotiable Support Proactively: Anticipate needs, follow up without being asked, and keep information flowing Build Relationships: Develop trust with subcontractors, team members, and project stakeholders through reliable follow‑through Own Your Growth: Take initiative to learn from senior team members and seek additional responsibilities What Sets This Role Apart Comprehensive Training: Learn from experienced PMs who invest in your development Real Responsibility: Own critical project tasks that directly impact success Clear Path Forward: Structured progression to Project Manager with defined milestones Meaningful Projects: Work on historic renovations and architecturally significant buildings from day one Core Values You’ll Live Daily DO the right thing BUILD lifelong relationships Be FAIR to everyone SELL performance ENJOY a work family culture Ideal Qualifications 1-3 years construction project coordination or engineering experience Bachelor’s degree in Construction Management, Engineering, or related field (or equivalent experience) Proficiency in Procore, P6 scheduling, and Microsoft Office required Exceptional organizational skills with proven ability to manage multiple deadlines Strong written communication skills with attention to grammar and professionalism Self‑starter who follows through without constant supervision Comfortable working in a fast‑paced environment with strict deadlines Understanding of constructionmeans/methods and ability to read plans/specifications #J-18808-Ljbffr
