Job Type: Full-Time, in-office (Flexible 4-day or 5-day work week options available)

Compensation: $58,600 to $66,000 per year (commensurate with experience)

About the Role

We are a growing mental health clinic in West Islip, NY, dedicated to providing innovative, patient-centered care. We are seeking a dedicated and highly organized Lead Clinical Office Assistant & TMS/Spravato Technician to join our team.

In this role, you will be the backbone of our TMS and Spravato operations, splitting your time between direct clinical patient care and essential administrative support. You will administer Transcranial Magnetic Stimulation (TMS), manage the clinical monitoring of Spravato (Esketamine) treatments, and support front desk operations. The ideal candidate is compassionate, detail-oriented, and comfortable navigating both patient interactions and complex insurance and compliance processes.

Key Responsibilities

• TMS Therapy: Set up and administer daily TMS treatments according to physician protocols, utilizing the MagVenture TMS system. Ensure patient comfort, monitor for adverse effects, and accurately record session notes.

• Spravato Monitoring: Assist providers in the administration of Spravato. Monitor patients during their required 2-hour post-administration observation period, checking vital signs and ensuring a safe, supportive environment. 
\n
• Patient Care & Communication: Act as a primary point of clinical contact for patients during their treatment course. Communicate securely and empathetically with patients using platforms like Spruce Health to answer questions, check on progress, and provide support.

Administrative & Lead Duties

\n
• Office Leadership: Serve as the operational point of contact for TMS and Spravato patients.
\n
• REMS Program Management: Oversee patient enrollment, monitoring documentation, and required submissions for the Spravato REMS (Risk Evaluation and Mitigation Strategy) program to ensure clinic compliance.
\n
• Insurance & Prior Authorizations: Take the lead on submitting, tracking, and following up on prior authorizations for complex treatments (TMS, Spravato). Verify patient benefits and eligibility proactively.
\n
• Patient & Employee Scheduling: Manage provider and treatment calendars for TMS and Spravato, optimizing for patient convenience and clinic efficiency. Ensure there is technician coverage for TMS and Spravato patients weekly.

Required Qualifications:

\n
• Previous experience in a medical office setting, preferably in psychiatry or mental health.
\n
• Strong organizational skills and proficiency in using Electronic Medical Record (EMR) systems.
\n
• Basic Life Support (BLS) or CPR certification (or willingness to obtain upon hire).
\n
• Excellent interpersonal skills, high emotional intelligence, and a warm, professional bedside manner.
\n
• Experience with internal office tools such as Google Workspace, Slack, Adobe. 
\n

Preferred Qualifications

\n
• Prior hands-on experience operating a MagVenture TMS device.
\n
• Familiarity with the FDA REMS program, specifically managing patient enrollment and submissions for Spravato.
\n
• Experience using modern patient communication and telemedicine platforms (such as Spruce Health).
\n
• Experience with medical billing, benefits verification, and navigating complex prior authorizations.
