Created in 1978 by the New Mexico Legislature, the Department of Cultural Affairs represents New Mexico's dedication to preserving and celebrating the cultural integrity and diversity of our state. The Department oversees a broad range of New Mexico's arts and cultural heritage agencies. These include 15 divisions representing a variety of programs and services. One of these divisions is the Museum of Indian Arts and Culture.

The Museum of Indian Arts and Culture (MIAC) is a center of stewardship, knowledge, and understanding of the artistic, cultural, and intellectual achievements of the diverse Indigenous peoples of the Greater Southwest. MIAC's mission is achieved by inspiring the public to learn more about the vibrant cultures of the Southwest, caring for and interpreting the collection, and collaboration with the Indigenous people of the Southwest. More than 50,000 people visit the museum annually.


Why does the job exist?

Reporting directly to the Deputy Director, the Accounting Supervisor will directly manage all aspects of financial administration and front desk operations at MIAC. This position will work with staff and managers to continuously improve the Museum's fiscal well-being and visitor experience.

The Accounting Supervisor creates, analyzes, organizes, and communicates financial information and strategy for effective financial operations for the museum in close collaboration with the department staff and Museum of New Mexico Foundation. With a large portfolio of State of New Mexico operational funds, Federal grants and agreements, revenue-generating activities, and funds managed in partnership with the Museum of New Mexico Foundation, MIAC has a complex set of financial operations and accounts.

The position works to ensure the public has a welcoming experience by supervising the front desk cashiers.

As part of the Museum's management team, the incumbent will actively contribute to realization of the Museum's mission and vision principally through identification of opportunities for increased efficiency, strategic procurement methods, and revenue enhancement based on increased museum attendance, grants, and donor support. This leadership role requires establishing a spirit of cooperation and cohesion for achieving goals.


How does it get done?

Financial Management:


Procure essential goods and services for all aspects of museum operations, including requesting and monitoring purchase orders.
Accurate and timely payment of all bills based on approved invoices.
Oversight and regular submission of cash/check deposits.
Maintenance of State and Museum of New Mexico Foundation (MNMF) accounts.
Creating reports and managing financial records of multiple fund sources including appropriations and grants.
Reconciliation of accounts to ensure compliance with accepted accounting principles and standards.
Development of guidance documents and procedures to improve effectiveness, fiscal soundness, and efficiency of purchasing at MIAC.
Provide training to staff to ensure fiscal procedures are clearly understood and adhered to while supporting the Museum mission


Budget Management:

Based on analysis and interpretation of financial data, work with the MIAC Director and Deputy Director to develop the museum's annual budget Track spending and identify potential shortfalls.
Track grant expenditures, staff hours, cost-matches, and other transactions and produce financial reports for grants.
Recommend ways to optimize use of existing financial resources.
Coach and develop staff to prepare budget requests for state funds.
Assist with development of the museum's multi-year facilities maintenance program.
Facilitate appropriate use of donated and grant funds managed through the MNMF.
Using QuickBooks, enter, track and analyze income and expenses across dozens of programs and projects managed through the MNMF.
Work with MIAC and MNMF staff to ensure clear communication and effective and timely payments to contractors, presenters, and vendors.

Front Desk Supervision:


Supervise the work of at least two (2) permanent, full-time Customer Service Representatives in cashiering and ticketing activities and responsibilities.
Supervise, mentor, schedule, train, and hire / on-board front desk team, ensuring a positive visitor experience.
Train and support other Museum staff who assist with front desk duties as needed to ensure coverage Approve time sheets, act upon leave requests, conduct performance evaluations, and recommend disciplinary actions as needed.
Manage and improve cash-handling procedures.
Learn and manage the Tessitura ticketing system; create reports; create tickets and events; ensure in-person and online ticketing is utilized to improve visitor experience.

Residents from across New Mexico, Museum visitors from all over the world, internal Museum and DCA staff, the Museum of New Mexico Foundation, and MIAC managers are primary beneficiaries of work done by this position.

Experience with financial administration, including budget formulation, payments, tracking account balances, and placing orders for goods and services; ability to learn and operate multiple financial management software is essential.


Strong preference for candidates with expertise in Excel and QuickBooks.


Preference for candidates with experience in SHARE.

Ability to improve operational efficiency and identify fiscal needs based on analysis of financial and budgetary data. Experience supervising a group of two or more employees; ability to mentor, motivate excellence and resolve interpersonal conflicts.


Ability to solve problems through both independent and collaborative work.


Minimum Qualification

Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration and three (3) years directly related work experience in accounting, auditing, budgeting, preparing Comprehensive Annual Financial Reports, and conducting financial audits. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling seven (7) years may substitute for the required education and experience.


Employment Requirements

Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Must possess and maintain a valid Driver's License.


Working Conditions

Working conditions include long periods of sitting. Will be expected to work with the public and with co-workers in a courteous and respectful manner, both in-person and on the phone. Will be expected to use a computer, communication equipment, accounting software, ticketing process/software, and handle financial transactions including cash. Must be able to lift up to 25 lbs.
