Job Overview

The Project Manager (PM) owns Project Sale execution from intake through close. Reporting to the VP, GoKeyless Care, this role accepts the Build → Care handoff with the Sales Operations Manager's assigned tier, confirms the tier at intake, runs the project schedule, coordinates Product Configuration Specialist preparation work, dispatches the Field Install Specialist for on-site work, hands off to the Customer Activation Specialist for training, and closes the project with the customer.

Key Responsibilities

Accept the Build → Care Handoff and Confirm Tier

• Accept the Build → Care handoff package at intake - locked SOW, NetSuite order, site details, GK Cares / GK Shield attachment status confirmed, SOM-assigned tier, and direct briefing from the Build Sales Rep.
• Confirm complexity tier (Simple, Standard, Complex) at intake - review the SOM's tier assignment against scope, site conditions, vendor mix, schedule, and risk. Escalate tier disputes to the VP, GoKeyless Care for arbitration.
• Surface scope, site, or attachment gaps at the gate - incomplete handoffs are process failures that go to IDS, not workarounds.
• Open the project record cleanly in NetSuite - milestone structure, expected timeline, and Estimated Completion Date field populated as a standing data-entry SOP.

Run the Project Schedule and Customer Relationship

• Own the project schedule from kickoff through close - milestones, dependencies, vendor coordination, and customer touchpoints.
• Lead the customer kickoff - review scope, schedule, points of contact, and expectations with the customer and the Build Sales Rep before work begins.
• Run regular customer status touchpoints - transparent communication on progress, risks, and any change-order conversation.
• Coordinate with the Product Configuration Specialist on pre-install preparation work - keying, configuration, materials staging - to the project timeline.
• Dispatch the Field Install Specialist on schedule - with complete site documentation, scope summary, and customer contact details.
• Hand off to the Customer Activation Specialist for training delivery at install close - the CAS picks up an installed, ready-to-train customer.

Drive Milestone Discipline and NetSuite Project Data

• Maintain NetSuite project records with accurate milestone status, Estimated Completion Date, and any change-order documentation. Estimated Completion Date field accuracy is a standing data-entry SOP - the company's On-Time Project Completion metric depends on it.
• Manage change orders with discipline - scope change, schedule change, or cost change captured, customer-confirmed, and routed to the SOM and AR Specialist for invoicing.
• Track project profitability through close - surface variances to the SOM and Senior Controller through standard reporting.
• Maintain audit-ready project documentation - SOW, change orders, site documentation, install records, and close records retained in NetSuite.

Coordinate Project-Close Invoicing and Handoff

• Coordinate with the AR Specialist on project-close invoicing - milestone billing, change-order invoicing, and final invoice timing flow through the AR Specialist with PM-confirmed scope.
• Close the project formally with the customer - confirm acceptance, gather feedback, and hand off the ongoing relationship to the CCM and the Build account owner.
• Coordinate with the CCM on warranty (GK Shield), ongoing support (GK Cares), and any open issues at project close.
• Coordinate with the Technical Care Advisor on technical questions that surface during install or close.

Drive Project Discipline and Continuously Improve

• Maintain project management discipline - schedule, scope, budget, and quality are managed actively, not reactively.
• Surface upstream patterns to the VP, GoKeyless Care - recurring scoping issues, hardware reliability patterns, or vendor performance trends.
• Champion AI adoption within project management workflow - use Claude, ChatGPT, and Copilot to accelerate documentation, status communication, and risk research.

Scorecard/KPIs

Project Execution

• On-Time Project Completion %: % of Project Sales closed on or before customer-committed completion date
• Project margin variance: Variance between quoted and actual project gross margin at close
• Change-order volume by reason: Change orders by reason code - surfaces upstream scoping patterns
• Estimated Completion Date accuracy: % of NetSuite project records with Estimated Completion Date populated and current to actual close date

Customer Experience

• Project-stage CSAT: Customer satisfaction at project close
• Build → Care intake SLA compliance: % of handoffs accepted and acknowledged in NetSuite within defined window
• Activation handoff completeness: % of closed projects handed to CAS with complete documentation

Qualifications

Experience (Must Haves):

• 3+ years of project management experience in a project-based delivery environment - building technology, security access, hardware install, or comparable.
• Demonstrated ability to run multiple projects in parallel with milestone discipline and customer communication standards.
• Working knowledge of change-order management and project profitability tracking.
• Proficiency with NetSuite or comparable ERP/PSA; comfort with RingCentral.
• AI fluency: Hands-on use of AI tools (Claude, ChatGPT, Microsoft Copilot) to accelerate documentation, status communication, and risk research.

Experience (Preferred):

• PMP, CAPM, or equivalent project management certification.
• Background in security access, building technology, multi-property rollout delivery, or VAR project execution.

Education:

• Bachelor's degree in Business, Engineering, Construction Management, or a related field preferred; or equivalent experience demonstrating proficiency in project execution.

Pay Range: $60,000 - $70,000 per year
