Position Summary:

We have an exciting opportunity to join our team as a Grants Manager.

The Grants Manager is responsible for pre award and post award (non financial) management of the grant portfolio within the department. The incumbent will manage the Grant Specialist, along with working directly with Principal Investigators (PIs), departmental and institutional administration in the submission of grant applications as well as non-financial management of awarded grants. Other responsibilities include budget oversight and maintenance, subcontract management, reports to sponsors, daily administrative and operational requirements of assigned grants and contracts and others duties as assigned.

Job Responsibilities:

Staff Management
  • Manage Grant Specialist, which includes training, employee development, setting goals, providing feedback, and conducting annual reviews.
Pre-Award Management
  • Assist investigators in preparation of proposals including reviewing sponsor policies and procedures, development of budgets and compliance with all regulatory and institutional requirements;
  • Responsible for reviewing and completing all grant application packages including detailed budgets in institutional and sponsor systems as required;
  • Review grant applications prior to submission to ensure that all sponsor guidelines are met;
  • Prepares sponsor and institutional forms prior to submission deadlines, including assurance numbers, internal and external budgets, F&A calculations, compliance documentation, sub-recipient agreements for subcontracts, scope of work documents, and budget justifications;
  • Develop subcontract budgets, request subcontracts be issued and work with subcontractor to execute contract;
  • Work collaboratively to ensure the award setup accurately reflects the terms and conditions of the award as well as anticipated spending.
Post-Award (Non Financial) Management
  • Responsible for submitting RPPRs (assist PI with completion of RPPR in eRA Commons, prepare annual budget, submit continuation record in Research Navigator, coordinate final submission with Sponsored Research Administration (SPA)
  • Submit continuation record in Research Navigator and prepare documents for annual authorization of sponsored project
  • Responsible for outbound/inbound subcontract communications and management (follow up on invoicing, request and review documents for RPPR submission, liaise with Contracts ensure timely subcontract execution, provide documents to prime institution for RPPRs, request carry forward as required)
  • Responsible for editing PI biosketches and preparing Other Support document according to NIH guidelines for RPPR submissions
  • Prepare prior approval request (effort reduction, foreign component requests, change in scope, carryover, etc.) documents and coordinate submission to sponsor with SPA
  • Responsible for new award management (review award notices, work with PI to revise budgets as needed, communicate with subcontracts, etc)
  • Attend finance meeting with PI to review financial status of accounts
General Research Administration and Special Projects
  • Collaborate with departmental leadership on initiatives to improve grant process and monitoring; Assist in the development of internal policies pertaining to grants and contracts;
  • Monitor and report on departmental application statuses including grants which are in the following statuses - planned, pending, under review, awarded and rejected;
  • Stay informed with federal (NIH in particular), state and other sponsor and agency requirements, policies and notify appropriate personnel of changes to policies and procedures;
  • Prepares monthly reports of application activity and customized reports as requested;
  • Responds in a timely manner to faculty requests for information;
  • Assist and lead special projects, as needed;
  • Liaise with internal administrative offices and external funding agencies regarding budget, financial, or administrative issues related to grants;

Minimum Qualifications:

To qualify you must have a Bachelor's degree required as well as a minimum of 3 years of experience administering grants or research projects. Successful candidate must have a thorough understanding of policies and procedures to ensure that research practices are in accordance with regulatory requirements and ethical standards. Demonstrated knowledge of grant submission process including preparing, completing, and collecting required paperwork and necessary signatures for federal and non-federal grant applications. Candidate must have a proven ability to work in a fast-paced environment, meet deadlines for grant submissions, and manage several projects simultaneously.

Preferred Qualifications:

Master?s degree preferred. Ideal candidate would have extensive understanding of related federal and state rules, regulations, policies, and procedures as well as the ability to interpret those of other sponsoring agencies. In addition, preference is given to candidates with outstanding verbal and written communication skills and an extensive knowledge of business administration, including both budgetary and sponsored program management at an academic medical center.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $84,577.93 - $122,818.50 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
