Position Summary

The Purchasing & Materials Coordinator is responsible for coordinating material purchases, vendor communication, purchase orders, receiving paperwork, and materials readiness for active manufacturing projects.

This role reports to the Manufacturing Operations Manager / Integrator and works closely with the Production & Fulfillment Managers, Finance Manager, and shop team.

The main goal of this seat is simple:

Make sure the right materials are available at the right time, in the right quantity, at the right cost.

Key Responsibilities

• Create, send, and track purchase orders based on approved BOMs and production needs
• Coordinate purchasing for repeatable manufacturing packages
• Contact vendors to confirm pricing, availability, ship dates, and backorders
• Track long-lead items and escalate shortages before they delay production
• Maintain vendor lists, price lists, purchasing files, and order history
• Compare pricing, specifications, and delivery dates when sourcing materials
• Coordinate with production managers to understand upcoming material needs
• Help ensure materials are ready before production begins
• Work with receiving/shipping to verify items received match orders and packing slips
• Communicate purchasing issues clearly and early
• Help reduce emergency purchases, missing materials, and production delays
• Support inventory organization and periodic counts as needed
• Work with Finance to support accurate bill matching, project costing, and vendor records
• Follow company purchasing policies and approval limits

• Fewer production delays caused by missing parts or supplies
• Accurate purchase orders and clean purchasing records
• Clear visibility into backorders and long-lead items
• Better vendor follow-up and fewer last-minute surprises
• Improved cost control on repeatable BOM items

Qualifications

Required:

• Strong attention to detail
• Highly organized and able to track many open items at once
• Comfortable using spreadsheets, email, and business software
• Able to communicate clearly with vendors, managers, and production staff
• Able to follow processes consistently
• Comfortable working in a fast-moving small business environment
• Reliable, dependable, and proactive

Preferred:

• Purchasing, procurement, materials coordination, inventory, or production admin experience
• Manufacturing, construction, cabinet shop, millwork, electrical supply, warehouse, or logistics experience
• Experience with purchase orders, BOMs, packing slips, vendor follow-up, or inventory tracking
• QuickBooks Online experience
• Experience with repeatable products, kits, assemblies, or project-based purchasing

Work Environment

This is an on-site role in a manufacturing environment. The position will include office work, communication with vendors, coordination with production managers, and occasional time on the shop floor checking materials, receiving items, or confirming project needs.

Compensation

$22–$26/hour depending on experience.
