Program Coordinator

POSITION OVERVIEW Cooper House is seeking a highly motivated and organized candidate to support our organization as we work to train early learning professionals across four states in the FAN model.This is a unique opportunity to join a team of dedicated and caring professionals at an organization that is a regional leader in the field of infant and early childhood mental health. HOURS & SCHEDULE This is a part-time (0.6 FTE), temporary, exempt position at up to 24 hours/week. This is a hybrid position, with some hours required in our Seattle office, some working at other sites supporting in-person trainings, and other hours able to be done remotely. This position will require some overnight travel, usually within Oregon or Washington. We are happy to be flexible about regular working hours during weeks when there is no travel. There would be some times when you would need to be working for Cooper House. These include: Dates of trainings you are supporting, which are typically scheduled at least 6 months in advance. Regularly scheduled meetings that are at fixed times that you would be required to attend. Some of these are in person and some are virtual. Regularly scheduled meetings that can be scheduled to work with your schedule. Below are some regularly scheduled meetings that you would be required to attend: 2nd Tuesdays of each month, 12-3: in person Cooper House staff meetings and in person FAN admin team meetings 4th Tuesdays of each month: virtual Cooper House staff meetings, 12-1 FAN team meetings, 2nd Thursdays of March, June, September, and December, 10-3(these are held in-person March and June and held on Zoom in September and December) In addition, there are some meetings that happen regularly, but can be scheduled at a mutually agreeable time for everyone involved in the meetings. These include: Weekly or bi-weekly supervision with Training Program Manager (in person or virtual) Weekly FAN Admin Team Meetings (in person or virtual) Monthly Workplan Deep Dives (virtual) Annual full-day all-staff retreat (in person, typically in June) SALARY & BENEFITS Our benefits include competitive compensation ($32-36/hour), full medical/vision/dental coverage, paid time off, holidays, and flexible scheduling including the opportunity to work from home 2-4 days a week between the hours of 8:30 AM and 6:30 PM, Monday through Friday. PRIMARY RESPONSIBILITIES Support Cooper House team to achieve goals and deliverables of FAN Training program which includes providing training to cohorts of Infant and Early Childhood Mental Health (IECMH) professionals throughout Oregon and Washington, and occasionally in Idaho and Alaska. For in-person trainings: coordinate travel for FAN trainers create a welcoming environment for participants that promotes learning and relationship building act as the on-site coordinator on in person training days Act as Zoom host and tech support person for virtual trainings. This involves managing PowerPoint, setting up and launching polls, organizing breakout rooms, supporting trainers and participants who experience technical difficulties, and sharing documents and links. Oversee production of training materials including physical and digital media. Manage training registration process, creation of evaluations, and other technical aspects of each training. Manage training follow-up tasks, including adding trainees to FAN mailing list, supporting trainees who will be mentored, and supporting trainees to find an opportunity to attend make-up days if needed. Support ongoing quarterly team meetings with tasks such as managing logistics, creating PowerPoints, facilitating portions of the meetings, taking written notes, and maintaining task lists. Support program budget by tracking and documenting training expenses and other program expenses. Schedule trainings by coordinating schedules with training team. Communicate schedules externally with interested participants. Issue certificates to trainees upon completion of program. Perform other appropriate tasks related to your professional role as needed. EXPERIENCE, COMPETENCIES, & QUALITIES Passion for the mission and vision of Cooper House. 2 years of college education in related field OR equivalent experience planning and coordinating small (50 people or less) events. Passion for and/or curiosity about infant and early childhood mental health. Experience planning and coordinating small (50 people or less) events. Strong written and oral communication skills, including openness to feedback, and ability to present information concisely and effectively, both verbally and in writing. Critical problem-solving skills and a love for tackling challenges. Ability to set up and troubleshoot PowerPoint presentations, computers and AV equipment for events or trainings. Ability to troubleshoot technical difficulties during Zoom meetings. High levels of integrity, trustworthiness, flexibility, compassion, humor, creativity, and persistence necessary to address the practicalities of a growing organization. Willingness to accommodate flexible schedule and to adjust schedule to travel for work. Ability to manage tasks and relationships in a manner that meets job requirements and program outcomes. Commitment to maintaining required reporting and tracking systems in timely, thorough, and accurate manner. Proficient in utilizing Microsoft Office, especially Excel and Outlook, to communicate and coordinate in a team setting. Willingness to undergo a criminal background check (state and national).
