Office Manager / Bookkeeper

We are seeking a dependable, organized Office Manager / Bookkeeper to perform day-to-day office operations and maintain accurate financial records for a manufacturing plant. The ideal candidate is detail-oriented, professional, and comfortable managing multiple priorities in a busy office environment and able to work independently.

Key Responsibilities

· Manage daily office operations, scheduling, correspondence, filing, and supplies

· Maintain financial records, including accounts payable and receivable

· Prepare invoices, process payments, and reconcile bank and credit card accounts

· Assist with payroll, setup new hires, maintaining employee records

· Communicate professionally with customers, vendors, and staff

· Keep records accurate, organized, and confidential

· Ensure customers have sent components and labels as needed per job. Verify key information needed for labels.

· Order supplies as needed – should never run out

· EOM reports including production and inventory

· Setup New Customers and parts as needed. 

· Create work instructions with pictures for new parts.

· Sales Tax quarterly

· Cashflow report done weekly, expense tracking, and routine financial reports

· Assist with Shipping and Receiving and at times with Quality Control records. 

Qualifications

· Previous office management, bookkeeping, or related experience

· Proficiency with QuickBooks-required, Microsoft Word, Excel, email, and general office systems

· Strong organizational, communication, and problem-solving skills

· Ability to work independently, meet deadlines, and maintain confidentiality
