Who We Are Department Summary The Program on Intergroup Relations (IGR) is a joint program between Student Life and the College of Literature, Science, and the Arts focused on intergroup and social justice education. IGR works proactively to promote an understanding of intergroup relations inside and outside of the classroom. IGR offers multidisciplinary courses and co-curricular programs that utilize experiential learning and models of dialogue to help students learn about social inequalities, the significance of social identity, intergroup relations, and social justice.
The ideal candidate must have strong organizational, interpersonal, and communication skills because this position interacts with all stakeholders: students, faculty, staff, and administrators. Successful candidates must also provide timely responses to inquiries.

Responsibilities* Academic and Enrollment Program Management - 25%
- Serve as the primary staff lead for the administrative coordination of semester course offerings and enrollment operations for all IGR courses, working closely with the Registrar and LSA to ensure timely and accurate course guide listings, course descriptions, and compliance with university and college deadlines and policies.
- Manage student enrollment processes, including permissions, overrides, waitlists, registration communications, and course placements, while identifying opportunities to improve the student and instructor experience.
- Lead beginning-of-term student communications and represent IGR at ALA 122 Mass Meetings to address registration, placement, course materials, and related student needs.
- Manage and improve application, enrollment, and course support systems, including web-based application platforms, Canvas course sites, and related workflows, ensuring course materials remain current, accessible, and aligned with instructional needs.
- Maintain and analyze student and course-related data, including enrollment trends, demographic information, survey data, permissions tracking, and secure record retention.
- Manage the training course application and selection process, including application preparation and distribution, applicant tracking, interviewer coordination, interview scheduling, communication of admission decisions, maintenance of campus partner contacts for semester nomination processes, strategic planning aligned with university calendars and deadlines, and conducting ALA 320 facilitation training interviews with staff and faculty.
- Coordinate start-of-term logistics and instructional support, including student communications, facilitator assignments, course materials, and related academic resources.
- Partner with the Staff Recruitment Team and Communications Strategist to support outreach initiatives, promotional campaigns, and student recruitment efforts for IGR courses and programs, including actively attending and representing all aspects of IGR programmatic offerings at recruitment events to engage prospective students.
- Coordinate and maintain recruitment communications and outreach materials, including website updates, application information, digital communications, and print materials.
- Oversee recruitment and tabling resources, including giveaways, apparel, promotional inventory, and event materials used for student outreach and visibility efforts.
- Serve as the primary administrative and student support contact for the IGR Academic Minor, responding to inquiries from prospective and current students and conducting informational meetings regarding minor requirements and pathways.
- Advise students on minor requirements and progression, including review of the IGR minor checklist, frequently asked questions, and coordination with academic advisors as needed.
- Manage advising operations and student records, including advisor assignments, advising logs, appointment scheduling, and documentation within the Undergraduate Advising File.
- Monitor prospective student interest and engagement in the minor, manage inquiry and follow-up workflows, and timely outreach to students exploring the program.
- Serve as the primary administrative lead for the National Intergroup Dialogue Institute and the National Facilitation Training Institute, partnering with the Associate Director for Strategic Partnerships & Initiatives, the Assistant Director, and the Communications Strategist to support planning, outreach, registration, and program execution.
- Coordinate Institute communications and participant recruitment efforts, including website updates, print and digital marketing materials, invitee communications, and outreach support.
- Manage program registration and operational systems, including Cvent registration workflows, billing coordination, payment tracking, and virtual Canvas sites administration.
- Oversee event logistics and onsite operations for Institute and Community of Scholars programs, including venue coordination, room reservations, A/V, catering, materials procurement, and day-of event support.
- Support post-program assessment and reporting, including survey evaluation, participant feedback review, and preparation of final Institute reports.
- Coordinate materials, communications, and Canvas page updates for Community of Scholars and related outreach initiatives, including curriculum resources, supplies, and program communications.
- Direct and supervise student staff, including assigning tasks, monitoring performance, providing guidance and training, and supporting operations for course support, minor advising, marketing, library, and project-based initiatives.
- Manage the hiring process for IGR office Assistants, including interviewing, selection, onboarding, training, and administrative processes to ensure compliance and smooth operations.
- Serve on internal committees and workgroups, supporting ongoing projects and special initiatives, including Graduation Celebration, Curriculum, Documents, Search and Infrastructure Committees.
- Oversee library and resource management, including circulation, cataloging, inventory, purchasing, maintaining handouts and program materials, and responding to patron inquiries.
- Reconcile monthly P-Card transactions, ensuring all purchases are supported by itemized receipts and comply with company purchasing policies.
- Act as designated cardholder for department purchases, including reconciling monthly expense reports and uploading receipts.
- Provide office administration and coverage, including reception, phone coverage, scheduling conference rooms, assisting staff, and monitoring the resource area.
- Plan, execute, and attend office events and celebrations, including coordinating materials, catering, space arrangements, certificates, and end-of-semester showcases.
- Determine graduating students' eligibility for IGR awards and recognition by cross-referencing Sessions data with Student Advising file records
- Participate in department initiatives, special projects, and other assignments as needed to support the mission and operations of IGR.
- Associate Degree or equivalent experience and education
- At least 4 years of relevant experience
- Understanding and commitment to intergroup and social justice education and student development
- Ability to work with multiple constituents (faculty, staff, students, and other institutions)
- Ability to manage multiple priorities
- Proven ability to prioritize and manage multiple projects simultaneously while meeting tight deadlines.
- Provides timely and professional responses to emails and phone inquiries from students, staff, and faculty.
- Bachelor's Degree
- Knowledge of University policies and procedures related to Academic Affairs and enrollment management.
