IT Asset Management & Procurement Coordinator

This position focuses on day-to-day hardware asset tracking basic software asset support supplier quotes and purchasing administration. The coordinator will keep records accurate follow established purchasing procedures and work with IT Procurement and suppliers to resolve routine asset and order issues.

ROLE:

• Track hardware through receiving assignment transfers returns redeployment and disposal following established procedures.
• Update asset records in ServiceNow including serial numbers assigned users locations and equipment status.
• Assist with software inventory license assignment records and renewal reminders using existing tools and procedures.
• Request hardware and software quotes from approved suppliers and summarize pricing availability and delivery dates for review.
• Enter approved purchase requests and orders in the ERP system track approvals and deliveries and confirm receipt of equipment or software.
• Investigate routine inventory and order discrepancies correct records where authorized and coordinate resolutions with suppliers and internal teams.
• Support equipment assignments and returns for employee onboarding transfers and departures.
• Assist with inventory counts reconcile records and prepare routine asset and purchasing reports using existing templates.
• Identify recurring delays or missing information suggest simple improvements and help update step-by-step procedures. Escalate issues requiring additional authority or technical expertise.

THE WELL QUALIFIED CANDIDATE WILL HAVE:

• At least one year of recent hands-on IT hardware inventory or asset tracking experience including maintaining records and receiving assigning or recovering equipment.
• Experience using an asset tracking or IT service management system. ServiceNow experience preferred.
• Experience obtaining supplier quotes or entering purchase requests and orders.
• Basic familiarity with software inventory license assignments or renewal tracking.
• Exposure to an ERP or electronic purchasing system preferred with the ability to learn established ordering procedures.
• Working knowledge of Excel for sorting filtering comparing records and preparing routine reports.
• Ability to identify routine discrepancies follow through with suppliers or internal teams and recognize when an issue needs escalation.
• Strong attention to detail organization and communication skills with the ability to manage daily tasks using established procedures.
• ServiceNow training or certification is a plus.
