Summary of Responsibilities: The Office Manager ensures the efficiency of the front office by greeting and directing visitors either over the phone or in person, answering general questions, and ordering and maintaining office and break room supplies. This position also assists the General Manager and DBH Finance and may do special projects with other departments as requested. Essential Functions of the Job: Answer multi-line telephone system and forward calls to appropriate office personnel Manage the components of the phone system, including welcome message, phone tree, general VM, etc. Order, organize, and ensure all office supplies are on hand and that all office machinery is in good working order Coordinate service calls for office equipment repair Order supplies for the breakroom and ensure cleanliness Assist DBH Finance by handling activities such as handling bank deposits, gameday cash operations (if applicable), manual check creation, facilitating invoice and spend approvals, and interacting with vendors Assist in onboarding and processing payroll for seasonal employees and ensure compliance with all relevant trainings and policies Act as the I-9 Agent for all seasonal and front office staff; ensuring 100% compliance Help staff with time and expense reimbursement submissions and manage credit card tracking for receipts and coding in Divvy/Bill.com Work with regional finance team to complete month-end close tasks Track and submit monthly sales commissions for front office staff Assist with the collections of past due receivables Bill Major League Baseball affiliate for reimbursables and maintain close relationships Assist in the preparation and reporting of sales taxes Manage and ensure timeliness with rent and other required payments Assist in planning and execution of staff birthdays, anniversaries and other special events QualificationsEducation and Experience Preferred: Associate or Bachelors degree 3-5 years experience in an office environment Strong knowledge of Microsoft Office Administrative experience supporting multiple people and departments Experience working in an accounting environment Excellent organizational skills, attention to detail and ability to multitask Ability to maintain confidentiality and professionalism Minimum Education and Experience Required: High School Diploma/GED 1-2 years experience in an office environment 1-2 years' experience in Accounts Payable Experience and knowledge of Microsoft Office and Excel Ability to use a multi-line phone system General Accounting software knowledge Good organizational skills, ability to manage time efficiently and effectively Ability to maintain confidentiality and professionalism #J-18808-Ljbffr Diamond Baseball Holdings Llc
